Project
Summary:
Project Administrators support project management by updating schedules, reviewing project timelines, providing clerical support, maintaining calendars, setting up meetings, making travel arrangements, and performing various other duties. They participate in communication activities within the EPMO and act as Project Librarians, ensuring documents are maintained according to EPMO standards, including version control and proper filing within the enterprise portfolio management system.
Required Skills:
- Two (2) to Four (4+) years of relevant work experience, preferably in a related industry or project environment
- Knowledge of the Healthcare industry is preferred but not required
- Expertise in MS Office applications
- Understanding of project management terminology and practices
- Excellent verbal and written communication skills with attention to detail
- Ability to work independently and as part of a team
- Strong multitasking, prioritization, and organizational skills
- Ability to manage multiple priorities and deadlines
Responsibilities:
- Schedule meetings, prepare and distribute minutes, and track action items
- Take notes during project meetings, annotate, finalize, and ensure follow-up on action items
- Manage project documentation, including scheduling, revisions, releases, and archiving in Planview and Share Point
- Develop and maintain procedures for controlling revisions to project scope, schedule, and cost, ensuring changes are well-defined, coordinated, and approved
- Review change requests, coordinate change control meetings, update change logs, and generate status reports
- Maintain Issue and Risk logs for projects
- Provide proactive support to EPMO staff and project teams
- Assist with project management training, meeting planning, and communication plans
- Verify and research timesheet data for project team members
- Update project schedules using tools like MS Project
- Analyze project schedules, identify challenges and risks, and communicate findings to project managers
