About the job:
The Parks and Facilities Department is a vibrant, multi-functional sector of the City of Everett. A position with this department promises a variety of high-level responsibilities which include administrative support to the leadership team, maintenance of confidential personnel files, review and submission of payroll, all aspects of the hiring process for seasonal positions, and preparation of materials for board and committee meetings using programs such as MS PowerPoint, Word, and Excel.
Responsibilities also include liaison work with other City Departments including Administration, HR, Legal, and IT. This position reports directly to the Parks coordinator requires one to demonstrate exceptional judgment and strong interpersonal skills. Emphasis is placed on relieving department staff of administrative duties, including the preparation of reports and correspondence and the gathering of background information and other data for review.
Additionally, the employee will often act as an intermediary, relaying messages, greeting visitors and ushering in constituents to meeting rooms. Successful performance of the work requires incumbents of this class to exercise individual initiative and apply considerable independent judgment gained through experience in the performance of highly responsible clerical duties.
Illustrative Examples of work:
- Coordinate and monitor recruitment of seasonal staff, as well as perform all functions of the associated hiring processes.
- Coordinate and monitor recruitment of full-time staff, as well as perform all functions of the associated hiring processes.
- Complete management of department Payroll Processing through UKG Dimensions for approximately 100 staff comprising of both unionized and appointive positions as well as full time and part-time staff work rules.
- Direct Staff Support:
Assisting with FMLA, PFML, and other time-off needs. Assisting staff with accrual rates, leave banks, and state/federal rights. - Establish and maintain confidential files, records, timecards, payroll reports, and other information sources needed to support and document areas of assignment. Maintain records to comply with all city, state, and federal requirements.
- Provide support services in coordination with the City Clerk's office, in a liaison capacity relating to employee travel and reimbursements, and Public Disclosure Requests.
- May be responsible for monitoring expenses and keep records of all expenditures and revenues relating to assigned work orders and budgets; route all budget matters through proper channels.
- Utilize advanced word processing, spreadsheet and database modeling functions. Collect, compile and analyze information from various sources relating to the programs administered by the position or within the department.
- Compose, transcribe and proofread complex oral dictation to produce meeting minutes, ordinances, correspondence, reports and other documentation.
