Overview

As an Office Admin Assistant in the company, you will greet department visitors and perform a variety of office support activities. This includes preparing documents, assisting with scheduling, maintaining, organizing, and processing files, and other related tasks.

Qualifications
  • 2+ years of experience as a receptionist or office assistant, preferably assisting executive leadership.
  • 2+ years of general office experience.
  • 2+ years of experience using Outlook, Word, and Excel.
Tasks
  • Provides general administrative support to the Executive Department/Office of the CEO.
  • Provides handling of communications (phone, email, and mail).
  • Updates and maintains activity/document logs and trackers.
  • May arrange for travel, provide scheduling assistance and process purchases.
  • Supports meeting preparation, technology, and logistics, and coordinates special events and projects.
  • Performs general administrative tasks for the department. This includes data entry, word processing, records reconciliation and management, including confidential records and information. Provides administrative support for department projects.
  • Prepares documents, maintains filing systems, scans and organizes department materials and records.
  • Performs other duties of a similar nature.

  • Effective written and oral communications that are timely, relevant, concise, and clearly outline necessary actions.
  • Professionally handling stress and interactions with others.
  • Managing multiple tasks simultaneously and effectively, and adjusting to changing priorities.
  • Exercising good judgment to discern when to take problems to a higher authority for resolution or guidance.
  • Proficiency with Microsoft Office tools, email, and other office software applications.
