We are seeking a highly organized, adaptable, and proactive Project Coordinator to join our team. This role supports both the Facilities and Operations organizations by coordinating projects, streamlining workflows, and ensuring effective cross‑functional communication.
The ideal candidate is resourceful, detail‑oriented, and thrives in a fast‑paced environment. This position plays a key role in supporting project execution, managing operational logistics, contributing to employee engagement initiatives, and ensuring smooth day‑to‑day coordination across teams. This is a dynamic and evolving role that requires strong technical skills, accountability, independence, and a problem‑solving mindset. The Project Coordinator will collaborate closely with multiple departments, support leadership in project‑driven work, and help maintain a positive and efficient workplace culture.
Qualifications- Strong technical skills in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams, SharePoint), Adobe, Visio, MIRO, Oracle, iBuy, and Concur

Facilities Project Coordination (25%)
- Coordinate and support Facilities projects, ensuring timelines, tasks, and deliverables are organized and completed on schedule.
- Serve as the backup coverage for the front desk, ensuring visitor and communication workflows remain uninterrupted during assigned times.
- Oversee Facilities‑related workflows such as supply procurement, vendor scheduling, and building‑related requests.
- Support Facilities finance processes by tracking purchase orders, invoices, and financial documentation within Oracle/iBuy.
- Coordinate activities related to the Vehicle Fleet and Certificates of Insurance, including data tracking, scheduling, and documentation.
- Assist with Facilities initiatives, continuous improvement work, and cross‑functional project needs.
Operations & Cross‑Functional Project Support (75%)
- Assist Operations leadership and project owners with organizing, scheduling, and tracking project activities across multiple work streams.
- Coordinate project meetings and workshops, including agenda preparation, materials, logistics, and follow‑up action items.
- Manage timelines, schedules, and documentation for ongoing operational initiatives.
- Coordinate vendors, procurement workflows, and purchase order processes to support projects and operational needs.
- Support new hire onboarding activities by coordinating logistics, schedules, and team readiness tasks.
- Partner with Operations and Facilities to plan and execute team events, culture initiatives, and engagement‑related projects.
- Support travel coordination and T&E compliance as part of project‑related logistics.
- Maintain and update operational tools such as org charts, team contact lists, project dashboards, and internal communication resources.
- Oversee distribution of internal project materials, shipments, and event‑related items such as SWAG or gift packages.
- Provide project coordination support to the Operations Executive Administrator during peak workloads or critical initiatives.
- Support special projects, process improvements, data tracking, and evolving operational priorities.
The salary range for this position is 47,600. (in local currency).
