Northwestern University is seeking a temporary Part-time Administrative Assistant 2 for the Evanston campus.

Job Description

This position provides reception services at the Kellogg Global Hub Welcome Desk, serving as the first "face" of Kellogg for occupants and guests. It supports Operations by coordinating with faculty, students, staff, guests and University units, ensuring facility configuration, informing contract staff, and coordinating with building facilities to support work order jobs.

Additional support to Facilities team, following established policies and procedures, is required. Some long hours may occur when events are running. A shared workspace may be assigned.

Specific Responsibilities
  • Enter information into spreadsheets/databases;
  • Compile routine reports, statistics, tables, charts, etc.;
  • Coordinate registration;
  • Coordinate events, including scheduling rooms, guest speakers, and arranging materials, technology, refreshments;
  • Assist the Manager of Scheduling and Planning with scheduling data, usage analysis, and forecasting for Kellogg leaders;
  • Schedule and coordinate space for meetings, presentations, and events within the Hub;
  • Maintain building occupancy database, tracking all occupancy movement and documenting changes;
  • Identify space‑related conflicts and resolve or elevate issues as needed;
  • Provide information via phone, e‑mail, mail;
  • Greet visitors, students, staff, and faculty, creating and maintaining professional relationships;
  • Provide directions, event locations, office numbers;
  • Manage communications and respond to inquiries, directing appropriately;
  • Direct custodial team in special requests and emergencies, coordinating work orders for repairs;
  • Help departments with special requests;
  • Represent supervisor in routine situations with internal and external personnel;
  • Identify and elevate emergencies such as medical situations or unwanted visitors;
  • Support Facilities staff with general operational tasks;
  • Maintain front desk area, keeping it clean and organized;
  • Monitor and restock office supplies;
  • Assist in planning, coordinating, and directing staff/resources for set‑up and breakdown for classes, conferences, events, and activities;
  • Manage building access issues, including new requests;
  • Perform other duties as assigned.
Qualifications Required
  • A high school diploma or equivalent.
  • 2 years of administrative support or relevant experience.
Minimum Competencies
  • Intermediate knowledge of word processing, spreadsheet, email, and database software.
  • Knowledge of Microsoft Suite programs.
  • Excellent customer service skills.
  • Ability to work independently and prioritize multiple requests.
  • Strong problem‑solving and analytic skills.
  • Strong verbal and written communication skills.
Preferred Qualifications
  • Experience with scheduling programs and facilities work.
