Position Summary

The Receptionist is expected to answer all incoming calls between the hours of 8:00 am - 5:00 pm. Relief coverage will be provided for breaks and lunch. The Receptionist position is responsible for providing exceptional customer service, preparing UPS for the courier, preparing invoices for the mail and providing general office support with a variety of clerical duties. The receptionist will be responsible for greeting visitors, answering incoming calls, directing calls to appropriate associates, mail distribution, preparing out‑going mail/shipments, completing various accounting tasks as assigned by your supervisor.

Job Functions Perform Customer Services Duties
  • Greet all visitors in a professional, friendly, and hospitable manner.
  • Notify correct employee their visitor has arrived.
  • Keep a record, have visitor sign the visitor register, give visitor a badge, and direct them to have a seat.
  • Answer multi telephone system screening, directing, and providing information to callers.
  • Transfer telephone calls, if necessary take a brief message and pass the message on via e‑mail system or connecting callers to employee's personal direct line.
  • Ensure all voicemail messages to main office number are taken and directed to appropriate staff members.
  • Report telephone equipment and line faults to the IT department.
  • Notify maintenance if repair is needed in the office.
  • Maintain files for confidentiality agreements.
  • Maintain files for customers 1099's.
  • Maintain COI for vendors.
  • Responsible for distribution of incoming faxes.
  • Perform duties as requested by your supervisor.
Perform Office Duties
  • Performs office duties and administrative purchasing functions, including but not limited to mail distribution, scanning, filing, word processing, data entry, etc.
  • Prepare letters and documents as requested.
  • Order, receive, and maintain office supplies for the Eugene facility.
  • Coordinate the repair and maintenance of office equipment.
  • Maintain security by following procedures; monitoring logbook; issuing visitor badges.
  • Pick up, sort the mail and distribute daily mail.
  • Open and date stamp invoices and general correspondence.
  • Address, fold, and stuff miscellaneous business correspondence.
  • Ensure the outbound mail is sealed, stamped, and mailed out daily.
  • File invoices and check copies daily.
  • Ensure that the postage machine is operational, has funds and is maintained.
  • Receive, sign, and notify the correct person of delivery and packages.
  • Track shipments as necessary.
  • Prepare and create outbound shipments for employees and customers utilizing the appropriate shipping carrier and software UPS, Fed Ex, DHL, USPS.
  • Email temp timecards and maintain temp spreadsheet.
  • Ensure conference room is picked up and clean.
  • Making sure office break room is picked up every evening before you leave.
Essential Qualifications
  • High School diploma or equivalent and one-year previous experience.
  • Excellent customer service, phone, verbal, and written communication skills.
  • Must be punctual and have a professional appearance.
  • Ability to work with minimum supervision and able to multi‑task.
  • Strong computer (Word and Excel), presentation and data handling skills.
  • Ability to interact with vendors, customers, and third parties in a professional manner.
  • Must be detail oriented, motivated and a self‑starter.
Physical Demands
  • Activities include walking, (including up and down stairs), kneeling, lifting, bending, stacking, twisting, pulling, pushing, inserting, sitting, standing, accumulating, and collating motions.
  • Be able to handle up to 25 pounds of material occasionally.
