This is a full-time 8 hours/ 1 FTE per day position working on the CL-12 (260 days per full school year) schedule, Mon-Fri.

Reporting to the Director of School Safety and Emergency Management the Volunteer Coordinator for the School Safety and Emergency Management Department will perform a variety of administrative support and secretarial functions to the School Safety Department and support the processing of volunteers and outside contractors for the school district. The Risk Volunteer Coordinator will utilize specific knowledge of assigned programs and related program assignments to plan and assist with special events and related organizing and preparation.

Responsibilities
  • Background check, track and communicate with volunteers and contractors on a daily basis schools, contractors, volunteer coaches, outdoor program, visiting therapists, etc.).
  • Compile, assimilate and analyze program data. Review and draft reports of program results.
  • Publicize the district volunteer program through writing or editing periodic newsletters, bulletins, articles and brochures.
  • Plan and assist with special events and programs including preparation of agendas, organizing participants and arranging facilities and materials.
  • Monitor fiscal and expenditures of the assigned program. Determine line item code allocation, post and balance revenue and expenditures.
  • Provide administrative secretarial support such as correspondence, composition, transcription, meeting scheduling and information dissemination.
  • Schedule and coordinate meetings, appointments, interviews, workshops, seminars and travel plans.
  • Provide technical or program specific information.
  • Maintain a high level of confidentiality.
  • Qualifications
  • Present self and 4J in a professional manner including: in oral and written communication, professional disposition when working with others and maintaining professional dress standards.
  • Knowledge of applicable program(s) and program requirements.
  • Ability to make effective direct personal contacts and presentations with the public and members of the district.
  • Working knowledge of bookkeeping procedures and techniques used in maintaining budget expenditures and budget reconciliation.
  • Ability to distinguish sensitive information and files, and maintain confidentiality of information.
  • Ability to effectively communicate, disseminate, and effectuate verbal or written communication and directives to a diverse group of administrators, staff, and the broader district community.
  • Maintain a high degree of professionalism, integrity, dependability and maintain a high level of confidentiality in accordance with FERPA and adherence to the competent and ethical educator practices.
  • Promotion of equity and diversity in all settings and processes and a commitment to anti‑racists principles.
  • Maintain compliance with state and federal laws governing all aspects of our agency including ORS, OAR, IDEA, FOIA, and CIPA.
  • Exceptional prioritization of tasks, timely completion of work assignments, ability to take the initiative and work independently with minimal supervision.
  • Demonstrates respectful, flexible and effective teambuilding skills of cooperation, communication and active participation.
  • Ability to understand and follow oral and written directives, find requested data and present in user-friendly formats for internal and public distribution.
  • Maintain regular attendance  punctual in meeting deadlines, attending meetings, and following schedules.
  • Experience
    • Experience with non‑profit, volunteer or private business agencies in public service or volunteer activities or in teaching, with emphasis on volunteer coordination.
    Preferred Qualifications
    • Four years of secretarial experience with responsibilities for monitoring budgets and policy assistance.
    • This position will require specific training or experience in Raptor, TLO and other technical programs.
