OverviewUltimate Staffing Services is actively seeking a dedicated and detail-oriented Invoice/Contracts Admin to join their client's team in California. This role is pivotal in ensuring the accuracy and compliance of invoices and contracts related to construction projects.
Responsibilities- Prepare and process accurate and timely invoices for construction projects.
- Review and verify contracts, work orders, purchase orders, timecards, and subcontractor agreements to ensure proper billing and compliance with contract terms.
- Manage the complete lifecycle of contract paperwork and documentation, including processing and tracking site-specific insurance.
- Coordinate closely with project managers, field teams, and clients to gather necessary documentation, verify billable milestones, and resolve billing discrepancies or issues promptly.
- Monitor accounts receivable aging reports, proactively follow up on outstanding invoices, and support collections efforts.
- Maintain detailed and organized contract files and databases.
- Ensure all billing and contract documentation complies with relevant local, state, and federal regulations and company policies.
- Serve as a primary point of contact for customer and vendor inquiries regarding contracts and billing, providing professional and timely assistance.
