Essential FunctionsIn this role, you will provide high‑level administrative and operational support to firm leadership, acting as a central point of coordination for executive scheduling, communications, and confidential initiatives.
You are responsible for managing complex calendars, coordinating internal and external meetings, and facilitating logistics for leadership engagements. Your role requires close collaboration with senior executives, internal stakeholders, and external partners to ensure seamless execution of priorities across multiple work streams.
You regularly support firmwide initiatives and leadership projects by preparing materials, managing communications, and ensuring follow‑through on action items. This position demands discretion, strong organizational skills, and the ability to manage competing priorities in a fast‑paced professional services environment.
You play a critical role in enabling executive effectiveness and operational continuity, contributing to the firm’s leadership efficiency and day‑to‑day execution at the corporate level.
You are also responsible for managing write‑up work, bank reconciliations and payables processing across a portfolio of related entities. This role ensures accurate financial records through Quick Books and approved manual processes while serving as the primary point of contact for banks, vendors, and other external partners.
Requirements- 5+ years of experience
- Experienced user of Outlook, Excel, Word, and PowerPoint.
- Accounting background with Quick Books experience is required.
- Ability to handle sensitive financial information with discretion.
- Ability to work overtime as needed.
- Well‑developed interpersonal skills. Ability to get along well with diverse personalities; tactful, mature, and flexible.
- Ability to operate independently and self‑manage projects.
- Ability to perform several tasks concurrently with ease and professionalism.
- Sound administrative skills. Well‑developed management skills.
- Excellent written and verbal communication skills
