Overview

IGE is seeking a proactive, organized, and people-focused Office Coordinator to support day-to-day office operations while serving as a welcoming first point of contact for visitors, clients, and vendors. This role expands beyond traditional receptionist duties and plays a key part in keeping the office running smoothly, supporting internal teams, and ensuring a positive experience for employees and guests alike.

Responsibilities
  • Front Desk & Office Support
    • Greet visitors, clients, and vendors in a professional and friendly manner
    • Answer, screen, and route phone calls and emails
    • Maintain reception area, conference rooms, and shared office spaces
  • Office Coordination & Administration
    • Handle incoming and outgoing mail, packages, and deliveries
    • Manage office supplies
    • Support basic administrative tasks such as data entry and document organization
    • Assist with internal communications and office announcements
  • Operations & Team Support
    • Serve as a central point of coordination for day-to-day office operations
    • Support internal teams by helping track requests, follow up on action items, and ensure tasks are completed in a timely manner
    • Help plan and support internal meetings, employee events, and office initiatives
    • Proactively identify opportunities to improve office processes, organization, and overall efficiency
Skills, Knowledge and Expertise
  • 1–3 years of experience in a receptionist, office coordinator, or administrative role
  • Fluent in English and Spanish
  • Strong communication and interpersonal skills
  • Highly organized with strong attention to detail
  • Proficient in Microsoft Office and Google Suite
  • Reliable, professional, and comfortable juggling multiple priorities
  • Able to work full-time, on-site
