As Executive Assistant, you'll serve as a trusted partner to our executive team, ensuring seamless operations and enabling leadership to focus on scaling our business. This is a dynamic role that requires discretion, sound judgment, and the ability to thrive in a fast-paced, evolving environment. You'll collaborate across all levels of the organization, from the Board of Directors to our manufacturing teams.
Key ResponsibilitiesExecutive Support
- Provide daily management and administrative support for the Executive Team
- Use discretion, judgment, and organizational knowledge to facilitate executives' activities and manage confidential information
- Serve as a key liaison between executives and internal/external stakeholders
Travel and Schedule Coordination
- Coordinate and manage executive travel arrangements, including booking flights, hotels, and ground transportation
- Manage executive schedules and calendars, ensuring efficient time management and prioritization of tasks
- Manage conference room bookings, including meal and beverage ordering when appropriate
Meeting and Event Planning
- Organize and support logistics for meetings, including scheduling, preparing agendas, and coordinating conference rooms
- Plan and coordinate virtual and in-person events such as offsite meetings, customer meetings, board meetings, employee holiday events, customer appreciation events, and industry events
- Support company-wide initiatives and team-building activities
Expense Reporting and Project Management
- Prepare and process expense reports for the executive team
- Manage projects independently, requiring discretion and decision-making without close supervision
- Support organizational initiatives related to company growth and development
Reporting and Presentation Preparation
- Coordinate reports, charts, budgets, and other presentation materials for the executive team
- Summarize, prioritize, and research information in a concise and usable format for executive review
- Prepare executives for meetings with briefing materials and follow-up action items
Collaboration and Communication
- Project a positive, confident attitude with strong customer service skills
- Collaborate with a wide range of internal and external stakeholders, from the Board of Directors to various department teams
- Work comfortably in a bilingual environment, supporting communications across our diverse workforce
Required:
- 5+ years of executive assistant experience, ideally supporting C‑suite executives in a fast‑paced environment
- Proven ability to manage competing priorities with exceptional organizational skills
- Strong business acumen and comfort with ambiguity during periods of growth and change
- Excellent written and verbal communication skills
- High proficiency in Google Workspace or Microsoft Office Suite
- Discretion and sound judgment when handling confidential information
- Proactive problem‑solver who takes initiative and works independently
- Comfortable working in a bilingual environment
Preferred:
- Experience in manufacturing, growth‑stage companies
- Exposure to organizational growth or significant change management
- Comfortable in a bilingual environment
- Bachelor's degree or equivalent experience
- Competitive salary: $75,000 – $90,000 (commensurate with experience)
