Addison Group is partnering with a stable, well-established organization in the Englewood area to find a dedicated Executive Assistant. This full-time, on-site opportunity is ideal for someone who thrives in a professional office environment and enjoys supporting executive leadership and financial operations.

Job Description

This position provides direct support to the CEO and CFO while also offering administrative assistance to the internal accounting team. The Executive Assistant will manage calendars, organize meetings, coordinate travel, and handle documentation related to financial operations. This is a highly visible and independent role, offering the opportunity to work with top executives in a well-structured environment.

Key Responsibilities Executive Support (~60%)
  • Coordinate and manage busy executive calendars and meeting schedules
  • Prepare presentations, meeting agendas, and follow-up materials
  • Record detailed meeting minutes and manage action items
  • Handle confidential correspondence with internal and external stakeholders
  • Coordinate travel arrangements and event logistics
  • Assist with executive expense reports and reimbursements
Administrative & Accounting Support (~40%)
  • Administer corporate credit cards (issue, cancel, and track usage)
  • Support insurance claim documentation and communication
  • Help with financial recordkeeping, including audit and expense documentation
  • Assist in the filing of liens and coordination with outside counsel
  • Provide general admin assistance to accounting and finance staff
Qualifications
  • 5+ years of executive experience or office management experience
  • Strong organizational skills and attention to detail
  • Proficient in Microsoft Office Suite, especially Outlook, Excel, and Power Point
