Medical Assistant and Patient Care Coordinator
Part-Time – Tuesday and Friday. $22–$24 per hour.
Job SummaryThe Medical Assistant and Patient Care Representative supports Dermacare’s clinical and front desk duties, creating an exceptional impression and experience for every patient who walks through our doors. This role is essential in delivering a warm, polished, luxury-level experience rooted in trust, integrity, and outstanding patient care service.

- Experience as a Medical Assistant, preparing treatment rooms, sterilizing equipment, numbing patients, and assisting in treatments.
- Proven customer service excellence, consistently modeling professionalism, confidence, and integrity across all communication channels.
- Strong patient-centered approach with demonstrated success in relationship building and trust-based communication.
- Excellent verbal and written communication skills; collaborates effectively with leadership, providers, and cross-functional teams to achieve shared goals.
- Highly organized and adaptable, able to manage multiple priorities independently in a fast-paced clinical setting.
- Commitment to confidentiality, compliance, and ethical standards, including strict adherence to HIPAA and California regulatory requirements.
- Proficient in EMR/PMS, CRM platforms, and technology used for scheduling, communication, and workflow management.
- Perform various clinical procedures such as preparing treatment rooms, sterilizing equipment, numbing patients, and assisting in treatments.
- Ensure cleanliness, organization of treatment rooms and necessary supplies are stocked.
- Effectively communicate treatment options, benefits, potential side effects/complications, range of outcomes, and alternatives to patients.
- Ensure patients receive and understand appropriate post‑care instructions and products.
- Draw up injectables.
- Assist surgeon with minor procedures.
- Educate patients on care, perform dressing changes, and remove sutures.
- Deliver a 5‑star patient experience through warm greetings, professionalism, and proactive service.
- Complete daily opening and closing procedures according to established standards.
- Manage patient scheduling, appointment confirmations, and cancellations with accuracy and attention to detail.
- Check patients in and out, generate invoices, and process payments efficiently.
- Educate patients on available services, memberships, loyalty programs, and current promotions.
- Recommend and upsell treatments or retail products when appropriate to enhance patient outcomes.
- Maintain accurate and timely patient records within the EMR/PMS system.
- Answer all incoming calls within three rings and respond to text messages within 15 minutes.
- Conduct timely follow‑up with patients who have not rebooked within 30 days post‑treatment.
- Ensure the reception area and overall office environment remain clean, organized, and visually aligned with Dermacare’s standards.
- Support administrative tasks including data entry, reporting, and inventory‑related workflows as needed.
- Collaborate closely with the team to ensure smooth daily operations and optimal patient flow.
- Support marketing and reputation‑building initiatives, including requesting and collecting online reviews.
- Ability to work on Tuesdays and Fridays roughly 8:00 a.m. – 4:00 p.m.
- Basic medical terminology.
- High school diploma or equivalent required; vocational or technical training preferred.
- 1–2 years of experience in a medical aesthetics, skincare, spa, or healthcare medical assistant and front desk environment.
- Strong communication, customer service, and organizational skills.
- Ability to multitask and remain composed in a fast‑paced setting.
- Detail‑oriented, reliable, and team‑focused.
- Professional appearance consistent with a luxury clinical environment.
- Proficient in Microsoft Office (Word and Excel) and EMR or PMS systems.
- Enthusiastic, positive, and solution‑oriented mindset.
- Prolonged periods of computer and phone use.
- Occasional standing, walking, bending, and lifting up to 15 pounds.
- Frequent interaction with patients and staff in a dynamic clinical environment.
