Role DescriptionThe Business Operations Analyst is a full-time, on-site role based in Encinitas, CA. This role involves analyzing business operations, processes, and data to identify efficiencies and opportunities for improvement. The Business Operations Analyst provides critical day-to-day support to the Vice President of Administration across business operations, administration, finance coordination, human resources, systems management, and executive support. This role is ideal for a highly organized, detail-oriented professional who thrives in a support role and enjoys managing multiple responsibilities to keep operations running smoothly.
Key ResponsibilitiesOperations & Office Administration
- Support the VP of Administration with daily operational tasks and initiatives
- Assist with office management, vendor coordination, and supply management
- Maintain organized records, files, and internal documentation
- Track action items and ensure timely follow-up on operational priorities
Accounts Payable & Accounts Receivable Support
- Assist with processing invoices, expenses, and reimbursements
- Track payments and receivables and follow up as directed
- Coordinate with external accounting and finance partners
- Maintain accurate financial and expense documentation
Administrative & Executive Support
- Assist with scheduling, calendar coordination, and meeting logistics
- Support travel planning and administrative needs
- Prepare documents, reports, and presentations as requested
- Serve as a coordination point for internal and external communications
- Provide supplemental executive support to the CEO, coordinated through the VP of Administration
Human Resources Administration
- Assist with onboarding and offboarding processes
- Maintain employee records and HR documentation
- Support benefits administration and payroll coordination
- Respond to routine employee HR-related inquiries
CRM & Systems Management
- Update and maintain CRM and internal systems
- Ensure data accuracy and proper documentation
- Assist with reporting and system organization
Compliance & Documentation
- Support compliance tracking, deadlines, and required filings
- Coordinate with external vendors and partners as needed
Events & Internal Coordination
- Assist in planning and executing company meetings and events
- Coordinate logistics, scheduling, and communications
- Support internal projects and initiatives as assigned
- 2 - 3+ years of experience in operations, administration, or executive support
- Strong organizational and time-management skills
- High attention to detail and ability to manage confidential information
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with Microsoft Office, CRM platforms, and HR systems
- Reliable and execution-focused
- Proactive and resourceful
- Comfortable working in a support role
- Strong follow-through and accountability
