Job Overview

The Stall Office Assistant plays a key role in supporting daily operations within the stall office to ensure smooth coordination and accurate reporting for horsemen/women and racing operations. This position is responsible for collecting and distributing barn and stall reports, maintaining accurate horse movement records through InCompass, and assisting with work orders, vanning schedules, and related recordkeeping. The Stall Office Assistant also monitors daily trainer counts, manages office supply inventory, and provides general administrative support to the stall office team.

This role requires strong attention to detail, organizational skills, and the ability to interact professionally with trainers, staff, and other stakeholders.

Essential Functions
  • Assist the stall office with duties and reports including but not limited to collecting numbers for the barn and stall report, sending out the barn and stall report, recording horses in/out via InCompass, submitting work orders to maintenance on behalf of horsemen/women, keeping track of the daily count for each trainer on the grounds, assisting with the record keeping of vanning schedules/bills of lading, inventory and request office supplies, and other duties to assist the stall office as needed.
Qualifications
  • High school diploma or equivalent required; college coursework or degree preferred.
  • Prior administrative or clerical experience, preferably in an equine, racing, or operations-related environment.
  • Proficiency in email and Microsoft Office Suite (Word, Excel, Outlook); familiarity with InCompass or similar database systems a plus.
  • Phone etiquette (preferred).
  • Strong attention to detail and accuracy in recordkeeping and reporting.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Languages:

    Must be able to speak, read and write fluently in English. Any Spanish language skills a plus.

Pay Range / Salary: $21.32 - $28.79
