Position: Administrative Specialist CL1 - Ellsworth Center

The University of Maine Augusta is seeking applicants for the part‑time position of Administrative Specialist CL1 at the Ellsworth Center
. The Administrative Specialist CL1 performs a variety of primarily routine and some non‑routine, clerical and administrative support responsibilities and tasks. The CL1 makes decisions regarding how the operations of a process are carried out by selecting among established techniques and prioritizes tasks daily based on established deadlines. Tasks are completed following defined procedures and standards, and the specific steps of most routine tasks are defined.

The CL1 may assign or delegate work assignments to student workers and/or temporary employees.

Responsibilities
  • Serving as the initial point of contact for students and community members
  • Providing excellent customer service and support
  • Assisting students with class registration, account inquiries, general financial aid questions, etc.
  • Troubleshooting technical issues
  • Creating documents using Microsoft Office and Excel, and Google Docs and Google Sheets
  • Processing confidential information
  • Scheduling and administering student exams
  • Performing tasks related to accounting and basic bookkeeping
  • Supporting the coordination of student workers
  • Assisting with Student Association activities & event planning
  • Closing the office and the Center

Work schedule

The CL1 will work twenty hours per week. The typical schedule for the Fall and Spring semesters is Monday through Thursday, 2:00 p.m. – 7:00 p.m. The typical schedule for Summer semesters is Monday through Thursday, 12:00 p.m. – 5:00 p.m.

Working Conditions

Positions in this class typically require: reaching, standing, walking, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions. Sedentary Work:
Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sitting most of the time. Walking and standing are required only occasionally.

Wage

$18.13 per hour (Wage Band 21) or the appropriate transfer rate for a current UMS employee.

Required Qualifications
  • High school diploma or equivalent and at least one year of relevant experience
  • Strong oral, written, and interpersonal communication skills
  • Strong public service orientation
  • Strong attention to detail
  • Computer competency, including Microsoft Office suite and Google Drive
  • Ability to work independently and as part of a team
  • Ability to work with diverse student populations
Preferred Qualifications
  • Experience working with college students and faculty
  • Experience with Maine Street Marketplace (People Soft)
