Warehouse Receiving Associate

The Receiving Associate is responsible for accurately verifying, documenting, and organizing all incoming inventory. This role ensures that received products match purchase orders and invoices, stock is properly labeled and stored, and all discrepancies are communicated promptly.

In addition to core receiving responsibilities, this position supports broader warehouse fulfillment operations during periods of downtime to ensure overall efficiency, productivity, and service excellence.

Key Responsibilities

Verify Incoming Shipments

• Confirm that all received products match the quantities, colors, and style numbers listed on purchase orders, invoices, and packing slips.
• Inspect boxes and product labeling for accuracy, damage, and condition upon arrival.
• Ensure that all received goods meet quality and packaging standards before being accepted.

Identify and Report Discrepancies

• Immediately notify the Buying Team of any discrepancies, including incorrect quantities, colors, or damaged/missing items.
• Provide clear written documentation and photos (when applicable) when reporting issues.
• Verify shortages or overages with a supervisor, ensuring the supervisor initials the purchase order before submitting paperwork or putting stock away.

Match and Reconcile Documentation

• Confirm all purchase orders, invoices, and packing slips match before completing the receiving process.
• Communicate any updates or corrections to the appropriate departments promptly.

Put Stock Away

• Place received stock in correct warehouse locations following layout and labeling standards.
• Store overstock items in designated areas, ensuring boxes are clearly labeled with full SKU and location.
• Rotate stock regularly to maintain organization and accessibility (FIFO as applicable).

Organize and Label Overstock

• Maintain overstock areas in numerical order for easy identification.
• Shift and reorganize overstock as needed to ensure available space for new items.
• Perform down-stocking regularly to keep primary pick locations stocked and efficient.

Maintain Inventory Accuracy

• Record all received items accurately before handing paperwork to the appropriate team for system entry.
• Participate in cycle counts and inventory audits to maintain ongoing accuracy.
• Assist in investigating and resolving inventory discrepancies.

Warehouse Fulfillment Support (During Downtime)

• During periods when receiving volume is light, the Receiving Associate will support broader warehouse fulfillment operations, including:
• Picking, packing, and preparing wholesale, retail, and e-commerce orders accurately and efficiently.
