REPORTS TO Human Resources Department Head

Job Summary

Provide administrative support services to the Human Resources department. This position requires complete confidentiality and cooperation with members of the department, City employees, and the public.

The office is open Monday through Friday, 8:00 a.m. to 5:00 p.m. This part-time position is scheduled for up to 28 hours per week within those hours.

Principal Duties And Responsibilities
  • Answer telephone calls, direct calls, take messages, and greet visitors.
  • Pick up, deliver, and distribute departmental mail.
  • Provide administrative support to the Human Resources Department, including:
    • Processing completed applications daily; entering into database, sending to hiring department, and filing.
    • Assisting with maintaining personnel files.
    • Assisting with scheduling various meetings and interviews.
    • Completing verifications of employment requests in a timely manner.
    • Assisting with tracking seasonal employees.
    • Processing accounts payable.
    • Recording and receipting insurance payments.
    • Recording injury reports in the OSHA website.
Other Duties And Responsibilities
  • Assist Human Resources staff with filing and other clerical duties.
  • Assist with maintaining Human Resources forms.
  • Assist with tracking seasonal employees for Human Resources.
  • Provide backup support for Human Resources staff as needed.
  • Perform other duties as needed in cooperation with other staff members.
Education And Experience
  • High school diploma or G.E.D. equivalent.
  • Previous office experience preferred.
  • Good organizational and computer usage skills required.
  • Must be detail oriented.
Knowledge, Skills, And Abilities
  • Valid driver’s license and reliable transportation.
  • Ability to organize and prioritize work while maintaining a high degree of confidentiality.
  • Knowledge of standard office equipment and procedures, including good grammar, spelling, and punctuation.
  • Proficiency in Word, Excel, and Access applications, including accurate typing and data entry.
  • Knowledge of City government and its various departments.
  • Ability to communicate effectively with employees and the public in both written and oral form.
Physical, Mental, And Visual Skills
  • Normal vision with or without correction.
  • Ability to work with a pleasant personality and interact with all types of people.
  • Ability to physically perform tasks listed above with or without reasonable accommodation.
Working Conditions
  • Work is performed up to 28 hours per week in a standard office environment.
Post Offer Testing Required
  • The City of Elkhart is a Drug Free Workplace.
  • Successfully passing a post offer drug screen is required.
  • Random drug testing may be conducted after employment.
  • Background checks producing acceptable BMV and criminal history reports required.
