Job SummaryThe Fleet Coordinator is responsible for managing and supporting the daily operations of the company's vehicle fleet. This role ensures vehicles are properly assigned, maintained, tracked, and compliant with company policies and regulatory requirements. The Fleet Coordinator works closely with drivers, vendors, maintenance providers, and internal teams to minimize downtime, control costs, and ensure safe and efficient fleet operations.
Key Responsibilities- Maintain digital files for every vehicle (registration, maintenance, insurance cards, and emissions records).
- Track driver logs and ensure pre-trip inspection reports are filed and saved.
- Schedule and track maintenance and inspections for vehicles and trailers; perform daily and weekly inspections.
- Enforce fleet policies, procedures, and safety standards.
- Schedule vehicle upfits (truck wraps, ladder racks, decals, and specialty modifications) and coordinate installation, removal, and reassignment of GPS, dash cams, and telematics systems.
- Handle DMV-related tasks (registrations, renewals, titles) and maintain insurance, inspection, and compliance records.
- Perform basic, non-mechanical maintenance (cleaning tools, replacing saw blades, sharpening bits).
Skills & Qualifications
- Organization:
Must enjoy "a place for everything and everything in its place." - Computer
Skills:
Basic proficiency in Excel or inventory software (training provided). - Communication:
Ability to follow up with foremen and superintendents regarding Vehicle Physical Stamina:
Ability to lift up to 50 lbs and remain on your feet in a warehouse or yard environment. - Education:
High school diploma or equivalent; previous experience in a warehouse or construction setting is preferred.
Documentation: 100% up-to-date registration and insurance folders for all vehicles.
