General SummaryWith minimal supervision, provide lead support to the practice staff. Coordinate workflow to maintain day‑to‑day activities and business performance, ensuring a positive patient experience, excellent customer service, and associate/doctor satisfaction and retention.
Essential Functions- Oversee daily workflow, including patient care, retention, scheduling, and communication with patients via in‑person and phone interactions.
- Monitor and lead team performance to maximize Managed Vision Care relationships; oversee patient recalls, scheduling, insurance verifications, intake/checkout, claims processing, and collections.
- Provide objective coaching and counseling; report successes and concerns and contribute to performance evaluations.
- Coordinate with other departments to facilitate special requests, process changes, and resolve workflow/production issues.
- Ensure all practice processes and performance standards are followed; develop, maintain, and train staff on procedures.
- Act as point of contact for patient and internal inquiries and complaints, responding in a manner consistent with operational excellence and satisfaction standards.
- Support practice and strategic initiatives by meeting target goals and objectives set by management.
- Participate in hiring and interview processes for open positions within the practice.
- Monitor and maintain accurate patient financial records, ensuring confidentiality and security.
- Ensure location is welcoming and merchandised to standards.
- Support timely implementation of approved marketing programs and initiatives.
- Foster positive workplace relationships with staff and doctors.
- Work on special projects and perform related duties as assigned.
Skills and Abilities
- Two to four years of experience in an optometry or customer‑service environment.
- State licensure or certification by a nationally recognized optician association is preferred but not required unless required by state regulations.
- Excellent verbal communication and commitment to helping people.
- Ability to lead, motivate, and promote a team environment.
- Ability to facilitate training and coach customer‑oriented associates/teams.
- Ability to present and implement decisive, creative solutions to grow the business.
- Ability to provide enthusiastic, concise communication to meet or exceed customer expectations and build positive relationships with associates and doctors.
- Ability to manage priorities, adapt, take calculated risks, and follow up.
- Ability to listen, process transactions, and interact with customers simultaneously in a fast‑paced environment.
- Ability to empathize with patients and demonstrate concern for their problems.
The working environment is generally favorable, with adequate lighting and temperature. There are no hazardous or unpleasant conditions caused by noise, dust, or other factors.
