We are seeking a seasoned Senior Logistics Coordinator Admin to take ownership of daily logistics coordination, administrative oversight, accounts receivable follow-up, and cross-department communication. This role requires someone who understands logistics operations end-to-end, anticipates issues, and resolves them without constant direction.
This is not an entry-level role. You will be trusted to manage details, improve processes, and keep operations running smoothly.
Key Responsibilities- Own shipment scheduling, carrier coordination, and delivery tracking
- Proactively identify and resolve shipping delays, discrepancies, and compliance issues
- Prepare, review, and manage shipping documentation and compliance paperwork
- Generate and analyze operational and financial reports
- Oversee customer invoicing requests and support accounts receivable follow-up
- Monitor aging reports, follow up on outstanding balances, and elevate issues as needed
- Serve as a primary liaison between customers, carriers, vendors, sales, and operations
- Support sales teams with complex orders, documentation, and shipment planning
- Maintain accurate logistics, inventory, customer, and financial data in systems such as Quickbase
- Identify process gaps and recommend improvements to increase efficiency and accuracy
- 2+ years of experience in logistics coordination, operations administration, or supply chain support
- Strong Excel skills, including reporting, tracking, and data validation
- Experience with logistics systems, ERP/CRM platforms, or accounting software
- Solid understanding of domestic shipping processes; international experience a plus
- Working knowledge of accounts receivable workflows and documentation
- Excellent communication skills and ability to manage multiple stakeholders
- Highly organized, detail-driven, and comfortable working independently
- Experience in high-volume or multi-department logistics environments
- Prior responsibility for training or mentoring junior staff
- Bilingual English/Spanish
- Office-based
- Full-time, Monday through Friday; flexibility required during peak shipping activity
