Our Onboarding Assistant position plays a critical role in our company and we need an individual with excellent customer service skills, detail oriented, ability to multi-task and a knowledge of Microsoft Office applications.
Availability: Full - Time (Monday - Friday 40 hours a week)
Location: El Segundo, CA (In-Person)
Compensation: $21.00 - $22.00 per/hour DOE
How will you help create a World Without Limits:
- Facilitate onboarding processes and coordinate with new hires to ensure a seamless and welcoming experience from offer acceptance to training.
- Effectively interface and communicate with all departments, including Recruitment, HR, IT, Training, and Client Services, regarding the status of new hires.
- Maintain a high level of attention to detail while managing numerous small but critical tasks, including accurate data entry of personal identifiers, credentials, and HR-related information within the system.
- Take on and implement any newly added requirements as needed to remain compliant with insurance or state guidelines and expectations.
- Set up new hire accounts, manage the onboarding tracker, and assign tasks as needed.
- Conduct welcome calls with new hires and send a welcome email outlining onboarding task due dates.
- Ensure the timely submission of all required onboarding documents by new hires.
- Guide new hires on navigating systems, resources, and policies.
- Monitor new hire checklist items for full completion and provide trouble shooting support as needed.
- Facilitate background checks and child abuse registry clearances, follow up with the vendors as needed, and ensure compliance with state regulations.
- Conduct SAMS, OIG, and Medicaid exclusion checks
- Coordinate the TB test process to ensure compliance with external payor requirements.
- Verify the employment eligibility of all new hires by completing E-Verify and updating the I-9 form accordingly.
- Assist in the development and implementation of new initiatives and programs.
- Support company-wide projects as needed, ensuring alignment with team goals and objectives.
- Execute all aspects of provider certifications, including initial appointments and reappointments
- Any other duties as assigned.

- Ability to support staff company wide
- Proficiency in self-managing time and priorities
- Excellent customer service - must have superior communication skills over the phone and via email
- Collaborative attitude with team-oriented outlook
- Ability to build strategic working relationships
- At least one year of onboarding/HR experience
- Bachelor's Degree preferred, but not necessary
- A professional, yet friendly demeanor
- Knowledge of Microsoft Office applications (e.g. Word, Excel, Outlook)
- Experience working daily in different applicant tracking and human resources information systems
- Familiarity with Jobvite, and OnePoint is a plus
