Location: El Segundo, CA
Hours per week: Full-time
Pay: $25 - $33 per hour
The Contracts Administrator plays a key role in providing outstanding customer service and supporting cross-functional teams to ensure efficient and accurate communication with customers. This position is responsible for managing quotes, processing orders, and maintaining contract-related documentation to support operational and sales functions.
Key Responsibilities- Serve as the primary point of contact for customer inquiries, including quotes, pricing, and other sales-related matters.
- Receive, log, and process all Requests for Quotes (RFQs); ensure timely submission to customers.
- Submit RFQs for special materials as needed.
- Receive, log, review, and acknowledge all Purchase Orders (POs), route to appropriate internal departments for action.
- Ensure clear communication of customer-related updates to the appropriate internal departments.
- Coordinate with internal departments and external stakeholders to resolve issues related to pricing, delivery, product availability, and customer concerns.
- Collaborate with engineering, quality, and production teams to address customer requirements and ensure seamless execution.
- Participate in customer meetings or calls as required.
- Track and report on customer sales data as required.
- Maintain organized records, filing systems, and document archiving.
- Handle incoming phone calls and assist with general inquiries.
- High school diploma or equivalent; a minimum of 4 years of relevant experience is preferred.
- Working knowledge of the manufacturing industry.
- Proven experience in contract administration or a related role.
- Strong research, writing, and analytical capabilities.
- Proficient in technical writing, particularly in drafting and reviewing complex contracts.
- Experience with ERP or MRP systems is highly desirable.
- Ability to manage multiple priorities independently in a dynamic environment.
- Meticulous attention to detail with a high degree of accuracy.
- Excellent communication and interpersonal skills.
- Strategic planning or business development experience is a plus.
- Proficient in Microsoft Word, Excel, Outlook, and Adobe software.
