We are seeking a highly organized and proactive Assistant to provide administrative support to a team of senior professionals within a fast‑paced Real Estate Debt and Credit environment. This role is ideal for someone who thrives in a rigorous setting, exercises strong judgment, and enjoys being a trusted partner to investment professionals.
Key Responsibilities- Manage complex calendars, scheduling meetings, conferences, and offsites while proactively resolving conflicts and prioritizing effectively
- Coordinate domestic and international travel, including detailed itineraries and required documentation
- Support onboarding and offboarding processes for contingent workers using internal platforms
- Prepare, edit, and format materials including Word documents and Excel spreadsheets
- Process and reconcile executive expenses, including corporate card and out‑of‑pocket expenses
- Maintain internal systems and databases with accurate and timely updates
- Coordinate interview scheduling and recruiting logistics for new hires
- Serve as a professional point of contact for calls, visitors, and internal requests
- Establish and maintain organized filing systems and manage priority mailings
- Provide general administrative and project‑based support as needed, including responsiveness outside of standard business hours when required
- Bachelor’s degree or equivalent combination of education and 5+ years of relevant administrative experience
- Proven ability to succeed in a fast‑paced, high‑expectation environment while managing multiple priorities
- Strong initiative, attention to detail, and sense of ownership
- Excellent written and verbal communication skills, with sound judgment and discretion
- Professional, polished interpersonal style with experience handling confidential information
- Highly proficient in Microsoft Outlook; strong working knowledge of Excel, Word, and Power Point
- Comfortable adapting to new systems, tools, and processes
- Prior experience in financial services is a plus, but not required
