The Director of Operations oversees all operational aspects of the client's Foundation. The role reports to the Executive Director and serves as a resource to the Foundation Board of Directors, government officials, and the public. Under the direction of the Executive Director, the Director ensures foundation associates are aligned with the mission and vision and work together to achieve strategic objectives.
The Director supervises administrative, support, and technical staff; develops and coordinates day-to-day functions, procedures and policies; and oversees fiscal and administrative processing of appropriate documents and requests. Assists the Executive Director in the planning and implementation of Foundation programs. Responsible for grant writing, including identifying, defining, and developing funding sources to support existing and planned program activities; coordinating development, writing, and submission of grant proposals to foundations and other third-party entities.
Primary responsibilities include preparation of proposals, grant applications, and requisite reports; performing professional administrative work to research, identify, develop, and respond to public and private grant opportunities. Monitors and tracks grants and other critical Foundation internal and external programs. Tracks and manages Foundation data—including financial, donor, and program information—and develops reports based on that information.
- Administers and provides direction on the daily operations of the Foundation.
- Organizes and maintains Foundation office records, including financial, special events, fundraising, Advisory Board, and Executive Board records.
- Assists the Executive Director with administration of the annual budget as approved by the Foundation Executive Board, including daily processing/approval of financial expenditures and documents, ensuring fiscal processes are adhered to.
- Supervises professional, technical, and support staff, including hiring, training, and discipline.
- In collaboration with the Executive Director, assists in the development and implementation of short-range, long-range, and strategic planning and related performance measurements for the Foundation.
- Supports the Foundation Board and Executive Director on board committee operations; ensures meeting logistics and documentation (agendas, minutes, calendar invites, related documents, presentations) are managed.
- Develops, recommends, administers, implements, and monitors compliance with policies, procedures, and standard protocols in accordance with legal parameters.
- Participates in meetings, committees, task forces, and related groups to communicate information regarding the Foundation and its initiatives.
- Manages operations that support fundraising, such as database management, prospect research and management, donor acknowledgment and communication, and management of fund agreements.
- Serves as a critical team member for planning, development, and organizing to ensure maximum success.
- Assists the Executive Director in monitoring annual fundraising results.
- Assists with distribution of press releases, special event promotions; responds to media inquiries; establishes and maintains public relations materials as deemed necessary by the Executive Board.
- Assists with networking, phone outreach, correspondence, presentations, and face-to-face meetings as needed.
- Oversees Foundation grant applications and awarding of grants to ensure compliance and standards, including:
- Researching, interpreting, and drafting program and financial information for proposals and reports;
- Researching new grant opportunities and industry trends and maintaining internal databases;
- Maintaining and creating systems to improve fundraising efficiency and effectiveness;
- Collaborating with other departments to build a wide network of program support;
- Meeting regularly with the Executive Director to discuss grant and funding strategies;
- Keeping abreast of foundation campaigns by interfacing with staff and advisors and by visiting projects;
