Overview

MIMCO is seeking a highly organized and analytical Tax & Insurance Analyst to manage and improve processes related to property tax compliance, insurance policy administration, forecasting, budgeting, and claims management for a portfolio of commercial real estate assets. This role ensures compliance with tax and insurance obligations, improves operational efficiency, and identifies cost-saving opportunities while maintaining collaboration across departments and third-party consultants.

This position exists in a temperature-controlled environment.

Responsibilities
  • Property Tax Management, Compliance, & Reporting
  • Partner with tax consultants, Accounting, and Property Management teams to ensure accurate assessments and tax obligations.
  • Review property tax assessments and manage the appeal/protest process for over-assessed properties.
  • Coordinate invoicing and payments for third-party tax consultants and City Brokerage, ensuring accuracy and compliance.
  • Monitor tax budgets and accruals, identifying and addressing variances or discrepancies.
  • Support negotiations related to abatements, exemptions, and tax incentives.
  • Ensure timely payment of all tax obligations for MIMCO-managed partnerships.
  • Coordinate with Lease Administrators to ensure proper collection and remittance of tenant real estate tax reimbursements.
  • Maintain jurisdictional tax compliance and respond to notices in coordination with Legal and Accounting.
  • Oversee the use and effectiveness of the Yardi Tax Module.
  • Tax Forecasting, Research, & Planning
  • Prepare projections and scenario analyses to support budgeting and strategic decision-making.
  • Collaborate with Finance and Accounting to ensure accuracy in tax expense recognition and deferred taxes.
  • Monitor changes in tax legislation that impact MIMCO’s portfolio and operations.
  • Identify tax-saving strategies, including abatements and local incentives.
  • Estimate tax implications of acquisitions, dispositions, refinances, and lease agreements.
  • Insurance Policy Management, Cost Analysis, & Budgeting
  • Review and manage all insurance policies across the portfolio for appropriate coverage.
  • Analyze property-level insurance costs and allocations; identify cost-saving opportunities.
  • Collaborate with brokers to evaluate and benchmark insurance policies for adequacy and competitiveness.
  • Assist with the preparation of insurance budgets and forecasts for current assets and acquisitions.
  • Ensure coverage adequacy including general liability, loss of rent, named storm, flood, umbrella, and specialty policies.
  • Evaluate alternative insurance structures such as self-insurance or captive.
  • Track policy renewal dates; coordinate with accounting and insurance brokers for timely renewals.
  • Monitor tenant insurance compliance and policy renewals through collaboration with Property Management.
  • Communicate key insurance metrics and options to management and GPs.
  • Claims Management, Policy Compliance, & Documentation
  • Serve as the primary contact for all insurance claims, working with internal teams and insurers.
  • Coordinate collection and submission of required documentation for property, liability, and loss of rent claims.
  • Track claim statuses, ensuring timely processing, communication, and resolution.
  • Maintain accurate claims records and generate regular reporting for management.
  • Ensure compliance with lease, lender, and regulatory insurance requirements.
  • Collaboration & Communication
  • Work across departments to integrate tax and insurance considerations into operational and strategic decisions.
  • Communicate critical tax and insurance obligations, timelines, and changes to relevant stakeholders.
  • Manage third-party relationships with tax consultants and insurance brokers effectively.
  • Clearly explain policy terms, claim processes, and risk management strategies to internal stakeholders.
  • Process Improvement & Training
  • Evaluate and improve tax and insurance processes, including adoption of automation or software solutions.
  • Standardize documentation and procedures for handling tax notices, bills, insurance renewals, and claims.
  • Provide training to relevant employees on updates and procedures relating to taxes and insurance.
