Position Summary
Implements and exercises functional authority for planning, organization, control, integration, and completion of projects within the area of assigned responsibility.
Statement of
Duties and Responsibilities:
* Under the direction of the Assistant Dean for International Student Scholars and Global Initiatives, we will target strategies to increase the number of undergraduate and graduate students taking advantage of study abroad programs, study abroad scholarships, and internships. These efforts aim to improve the overall percentage of UTEP students participating in High-Impact Practices, such as Study Abroad.
* Assist the Assistant Dean in developing study abroad learning outcomes and program objectives, as well as in program assessment.
* Advocates for organizational policies and procedures that adhere to local, state, and federal laws; provides guidance to University staff on creating and executing regulatory strategies, identifying potential regulatory issues, and staying updated on new government and regulatory changes.
* Lead the advisement of students regarding opportunities available through study abroad programs and all aspects of the experience. Conduct presentations aimed at encouraging participation among specific groups of students, including but not limited to Honors Programs, First Year Student Programs, and Merit Scholars.
* Lead and manage the advisement of faculty and staff in creating experiences abroad, including budget development, risk management, and the application and recruitment process.
* Oversee and manage the Terra Dotta software for all phases of the study abroad experience, participant data management, and risk management/mitigation. Additionally, explore and implement the use of Terra Dotta software in other areas of the Study Abroad program.
* Develop and coordinate programs and events related to study abroad, including study abroad orientation sessions, re-entry workshops, First-Year information sessions, International Education Week, and more.
* Lead and manage the creation of print and web-based materials for students participating in Study Abroad programs.
* Oversee and coordinate the creation of publicity and promotional materials in collaboration with the study abroad team.
* Oversee the Study Abroad Ambassadors program, which includes weekly information sessions, tabling, class presentations, orientations, and various outreach activities designed to increase study abroad participation.
* Manages positive and effective relationships with prospective students, applicants, parents, recruitment and admissions specialists from around the globe, international institutions, guidance counselors, teachers, school officials, university staff and faculty, representatives from global business and government-related agencies such as U.S. Embassy officials and Education USA officials, current and potential local, national, and international employers, current and potential exchange partners, study abroad vendors, and study abroad organizations.
* Oversee and manage all budgetary requirements for Study Abroad and act as an alternate budget approver for OIPSA.
* Serve as the primary support contact for inbound and outbound exchange students involved in direct exchange programs.
* Oversee the facilitation of registration and enrollment verification, grade and credit evaluation and interpretation, and the awarding of UTEP credit.
* Oversee the coordination of the application and selection process for study abroad scholarships managed by OIPSA, including the Foundation scholarships, Gilman, and Boren Scholarship programs.
* Oversee communication with study abroad program staff at partner institutions and third-party providers (e.g., ISA/TEAN, CEA CAPA, CIEE, Semester at Sea, World Endeavors, Harlaxton College, etc.).
* Take charge of the OIPSA when the Assistant Dean is unavailable. Manage the daily operations of the OIPSA office.
* Assist with campus internationalization efforts, including the integration of curriculum and the implementation of OIPSA's goals and objectives.
* Support the oversight of personnel in OIPSA, which includes administrative assistants, study abroad advisors, international student advisors, the international recruitment team, student employees, interns, and graduate assistants.
* Participate in University committees and represent the University at various local, state, regional, national, and international professional conferences and meetings.
