WhatYou Will Do
- Provide critical budget, accounting, purchasing, and administrative support for the College of Arts and Sciences, including overseeing and processing transactions from multiple account types and maintaining accurate records of revenues, expenditures, and balances.
- Track and report course fee activity to ensure compliance with SIUE policies, serve as procurement card manager and reviewer, monitor receipts for accuracy, prepare purchase requisitions and contractual service requests, and ensure teaching laboratories are adequately supplied.
- Use the procurement card to facilitate faculty and student travel by purchasing approved expenses such as conference registration, airfare, and lodging, and complete travel vouchers.
- Serve as fiscal officer delegate for faculty grant accounts; prepare contracts and job change requests for full‑time faculty; and prepare and route contracts for graduate teaching and research assistants.
- Hire, train, evaluate, discipline, and terminate student workers; manage time entry and leave processes; and support hiring for the peer‑led team learning (PLTL) program.
- Provide administrative support for lab safety by maintaining required documentation, coordinating with lab managers and faculty, and ensuring compliance with safety regulations, training, and equipment inspections.
- Maintain comprehensive departmental records, support scholarship and award processes, assist with special events, and manage phones, reception, listservs, shared inboxes, and inquiries while representing the College as a resource to other units.
- Four (4) years (48 months) of work experience comparable to the third level of this series.
- Two (2) years (24 months) of work experience comparable to the fourth level of this series.
- Knowledge of administrative procedures and systems, including record management.
- Knowledge of computer systems and software.
- Knowledge of scientific disciplines and principles and procedures to ensure safety in laboratories.
- Excellent communication skills.
- Ability to assess costs and benefits and make appropriate decisions.
- Attention to detail.
