Job Description

You are responsible for all areas related to Human Resource functions in the areas of recruitment, performance management, training & development, retention, all HR administration (payroll, policies and procedures), compliance to all regulatory employment, non-profit policies

You will be required to manage and monitor the Organization daily operations relative to General Office Administration (General Office Administration covers Information Technology, Administration, Office Security, Legal and Facilities Management)

The HR & Admin Lead reports directly to the Executive Director and works closely with leadership to foster a positive, mission-driven workplace culture.

Human Resource & Compliance Administration
  • Review and execute WSC’s HR policies and procedures
  • Review and manage employee benefits, entitlements and group insurance coverage
  • Maintain all HR related records
  • Administer Annual Employee compliance related declarations
  • Manage end-to-end process for recruitment, onboarding, probation and exit
  • Manage monthly payroll processing, annual income tax filing, work closely with Executive Director, HR committee on pay-related advice & approvals
  • Manage leave requests
  • Maintain up-to-date HR policies and ensure compliance with labour laws and organizational standards
Centre Administration & Facilities Management
  • Serve as first point of contact for walk-ins, calls, emails and general enquiries
  • Provide general administration support to management & centre staff
  • Maintain a systematic filing system for both electronic and hardcopy filing system while adhering to personal data accordance in line with WSC policies and requirements
  • Provide and manage general administration and office operation support to centre staff eg: meeting logistics, room bookings, office supplies, invoice processing, expense reporting, etc.
  • Liaise with external vendors, monitor and manage service maintenance contracts, IT-related matters & IT related assets
  • Support business travel, meeting and other arrangements for employees to ensure smooth execution of travel arrangements and logistics
Strategic & HR Growth Areas

Work with Executive Director and HR Committee to lead development and execution in HR growth areas:

Performance Management, Retention & Development, Culture & Transformation
  • Develop and execute recruitment strategies to attract, select, and onboard talent aligned with WSC’s values and mission.
  • Facilitate the performance management process – annual goal setting, mid year reviews, annual appraisals
  • Oversee compensation and benefits administration, ensuring fairness, transparency, and compliance with relevant regulations
  • Identify, create and facilitate initiatives to boost employee satisfaction, engagement, and retention, including recognition programs and feedback mechanisms
  • Design and implement training, mentoring, and career development programs to enhance staff capabilities and support professional growth
  • Champion organizational culture, diversity, equity, and inclusion, and support change management initiatives
