Order Management & Customer Service Rep (Full-Time) - Edmonton, AB
Primary Purpose
The Order Management & Customer Service Representative plays a key role in ensuring accurate, timely, and customer focused processing of orders for our industrial, specialty & medical products and services. In this role, you support Territory Managers, Inside Sales, and various operational teams to deliver an exceptional customer experience from order entry through fulfillment.
You will work with modern digital tools — including AI assisted features — to enhance accuracy and efficiency. These tools are decision aids, but your judgment, communication, and attention to detail remain the foundations of success in this position.
Key Accountabilities
Order Processing & Coordination
Process customer orders received by email or phone, ensuring accuracy and completeness.Enter all orders into the order management system with correct product codes, pricing, and delivery details.Monitor order status, lead times, and backorders while coordinating with internal teams where required.Flag discrepancies, missing information, or unusual order patterns to ensure proper resolution.Customer Communication & Issue Resolution
Respond to customer inquiries regarding pricing, stock availability, product information, delivery timelines, and order status.Provide prompt updates to customers and internal partners when changes, delays, or issues arise.Support Territory Managers and Sales teams with account or order related information.Digital Tools & Workflow Support
Use digital platforms, including AI supported tools, to assist with information retrieval, data accuracy, and workflow efficiency.Review any system-generated recommendations and apply sound business judgment before finalizing orders or communications.Maintain accurate records and documentation for audit and compliance requirements.Reporting & Administration
Prepare or update tracking reports (order status reports, backorder lists, issue logs, etc.).Maintain up to date customer information, order documentation, and internal notes.Support month end, cycle count, and audit processes as required.Continuous Improvement & Collaboration
Identify recurring issues, inefficiencies, or workflow gaps and recommend improvements.Collaborate with Sales, Operations, Logistics, Credit, and Customer Service to support smooth order to delivery processes.Participate in training for new systems, tools, or proceduresQualificationsRequired Qualifications
Education
High school diploma required; post secondary education in business, administration, or logistics is an asset.2+ years of experience in order management, customer service, or logistics.Strong communication, organization, and multitasking skills.Proficiency with digital tools and order management systems; bilingual (English/French) is an asset.Experience
Experience in industrial gases, welding products, or technical product environments.Familiarity with ERP systems such as Oracle JDE, SAP, or similar platforms.Exposure to CRM tools or digital workflow systems is an asset.Linde has an extensive background check process which may include but is not limited to, a criminal background review, reference checks and employment verification.
