Human Resources & Occupational Health & Safety Assistant
Temporary Full-Time

Reporting to the Manager, Human Resource Services, the HR & OHS Assistant provides administrative support to the Human Resources and Occupational Health & Safety (OHS) functions. The role supports the digital organization and management of personnel records, coordinates recruitment activities, and assists with the implementation and ongoing maintenance of Morinville’s OHS Program. Working closely with the Corporate Safety & Risk Advisor and the Human Resources Advisor, the position contributes to compliance, accuracy, and the efficient operation of departmental processes.

The role requires a high level of professionalism, attention to detail, discretion, and confidentiality while managing sensitive information and coordinating a variety of administrative tasks.
The term of this position will be approximately May 4, 2026, to August 28, 2026, based on operational requirements.

Key Responsibilities:

  • Assist with the organization of personnel files, including scanning, uploading, and applying appropriate metadata in SharePoint.
  • Ensure accurate, organized, and confidential digital record‑keeping in compliance with records management and privacy requirements.
  • Support recruitment activities by scheduling interviews, coordinating candidate communications, and preparing interview packages.
  • Provide general administrative support to the HRS team, including data entry, filing, and document preparation.
  • Assist the Corporate Safety & Risk Advisor in initiatives and compliance related to Morinville’s OHS Program.
  • Collaborate with departments to ensure Position Hazard Assessments (PHAs), Task Hazard Assessments (THAs), and incident reports are current, complete, and properly documented.
  • Assist with tracking OHS metrics, documentation and maintaining accurate records.
  • Support organizational compliance with applicable OHS legislation, policies, and procedures.
  • Assist with other HR & OHS related administrative tasks as assigned.

Requirements:

  • Enrollment in or completion of a post‑secondary program in Human Resources, Business Administration, Occupational Health & Safety, or a related field.
  • Strong organizational skills and attention to detail, particularly when handling confidential information.
  • Proficiency with Microsoft Office applications, including SharePoint, Word, Excel, and Outlook.
  • Ability to manage multiple tasks, meet deadlines, and work independently.
  • Strong written and verbal communication skills.
  • Experience in an administrative, HR, or OHS support role is considered an asset.
  • Knowledge of OHS programs, hazard assessments, or records management is an asset.
  • The successful candidate will be required to provide a Criminal Record Check as a condition of employment.

This position is partially funded by the Canada Summer Jobs grant program and requires applicants to meet the following eligibility:

  • applicants must be between 15-30 years of age, and either a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred (foreign students are ineligible) and be legally entitled to work in Canada.

Compensation/Hours of Work: This position offers an hourly wage of $25.23, based on a 35‑hour work week.
