Reporting to the Operations Enablement Lead, the Operations Enablement Administrative Support plays a key role in ensuring the efficiency and effectiveness of the Corporate & Continuing Education department. This position is responsible for providing essential administrative and clerical support to the Operations Enablement team, contributing to seamless day-to-day operations and successful execution of key initiatives. The ideal candidate is detail-oriented, proactive, and thrives on problem-solving, helping the team deliver consistent, high-quality operational support.

Reporting to the Operations Enablement Lead, the Operations Enablement Administrative Support plays a key role in ensuring the efficiency and effectiveness of the Corporate & Continuing Education department. This position is responsible for providing essential administrative and clerical support to the Operations Enablement team, contributing to seamless day-to-day operations and successful execution of key initiatives. The ideal candidate is detail-oriented, proactive, and thrives on problem-solving, helping the team deliver consistent, high-quality operational support.
Key Responsibilities:
80% Administrative Support
Maintain accuracy and timely updates of external databases.Prepare and issue manual certificates and wallet cards, including coordination with third-party issuers.Perform data entry, tracking, and reporting across multiple databases and systems.Collaborate with internal stakeholders to identify, troubleshoot, and resolve process or system issues.Provide support for special projects and continuous improvement initiatives.Ensure accuracy and assistance to colleagues as needed.Assist with processing registrations and fulfilling responsibilities specific to each partnership or agreement.Perform other administrative duties as required.20% Student Support
Issue manual certificates and coordinate third-party credentialing.Assist with third party messaging processes, ensuring all related tasks are completely accurate and on time.Monitor shared inboxes and chat channels, processing requests and providing timely responses.Respond to inquiries from internal stakeholders regarding assigned tasks.Skills & Abilities:
Knowledge of standard office administrative procedures and ability to operate a range of standard office equipment.Knowledge of educational organizational structure and administrative systems such as People Soft are considered an asset.Excellent interpersonal and communication skills, both written and verbal, to provide support and assistance to a broad range of individuals and to provide clear and accurate information.Ability to function as a member of a team, to work cooperatively with colleagues, students, and clients.Effective analytical and practical problem-solving skills to help resolve administrative and service issues and make appropriate recommendations. Ability to identify when to escalate issues and recommend options.Ability to take initiative, work with minimal supervision and make independent, routine decisions.Excellent organizational and time-management skills, to coordinate own work and the work of others.Ability to maintain focus under pressure while executing many different duties, all needing urgent attention, and with frequent interruptions.
