About the Role

As an Executive Administrative Assistant
, you’ll provide high-level support to the Director, managing a diverse portfolio of responsibilities. Your ability to anticipate needs, adapt quickly, and maintain confidentiality will be key to success. This position is ideal for someone who thrives in a fast-paced environment and enjoys being at the center of executive decision-making.

Key Responsibilities

  • Executive Support: Manage calendars, schedule meetings, and coordinate events and travel for the Director.
  • Financial Administration: Build and process Oracle requisitions, purchase orders, invoices
    , and manage timecards and expense reports.
  • Operational Excellence: Ensure seamless day-to-day operations through proactive planning and problem-solving.
  • Communication & Coordination: Serve as a liaison between the Director and internal/external stakeholders, ensuring timely and accurate communication.
  • Confidentiality & Discretion: Handle sensitive information with the highest level of professionalism and integrity.
  • What You Bring

  • 5–7 years of experience providing executive leadership or executive-level support.
  • Exceptional organizational, interpersonal, written, and verbal communication skills
    .
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, SharePoint, Teams
    , and timekeeping systems.
  • Ability to adapt quickly, prioritize effectively, and work under pressure with minimal supervision.
  • Strong attention to detail, discretion, and a proven ability to build relationships across all levels of the organization.
  • Flexibility to work overtime when required.
