Our Edmond, Oklahoma office is a client-facing, private-sector focused location supporting civil engineering and development projects throughout the region.
We are seeking a highly capable, professional individual to serve as the Office Manager and front-office anchor for our Edmond office while also providing administrative, contracts, and proposal support to technical staff and management.
Position OverviewThe Office Manager & Contracts / Proposals Coordinator is responsible for the day-to-day operation of the Edmond office and serves as the primary liaison between local staff and Red Plains’ corporate operations and leadership. This position plays an important role in instilling, maintaining, and reinforcing Red Plains’ company culture at the local office level as a direct extension of the national leadership team.
RequiredExperience & Qualifications
- Prior experience supporting a civil engineering, architecture, construction, or technical consulting office (highly desired)
- Experience in an office management or senior administrative role
- Strong organizational, communication, and interpersonal skills
- Professional demeanor and comfort interacting with clients and leadership
- Proficiency with Microsoft Office (Required - Word, Excel, Outlook, Powerpoint.
- Access, Project, Publisher, Deltek Ajera.)
- Serve as Office Manager and primary point of contact
- Maintain a professional, welcoming office environment
- Promote a positive and proactive company culture as extension of national leadership team
- Coordinate with corporate leadership to implement initiatives
- Plan and coordinate office functions and events (Summer events, catered business lunches, Christmas party, etc.)
- Greet clients and visitors
- Answer and route calls
- Manage mail and office communications
- Maintain filing systems
- Support project managers and staff
- Assist with onboarding logistics
- Assist with logistics planning
- Support engineers and staff with electronic and hard copy deliverables preparation and delivery
- Assist with proposals and SOQs
- Maintain and help implement templates and boilerplate materials
- Track contracts and compliance documentation
- Review contract language and identify potential issues (preliminary review in support of Project Managers, not required to negotiate)
- Format proposals and marketing materials
- Aid in the upkeep of resumes and graphics
