Position Summary

The Onboarding Specialist is responsible for ensuring a smooth, efficient, and positive experience for all new hires within the organization. This role manages the full onboarding process—from offer acceptance through the employee's first 90 days—assuring compliance with healthcare regulations, credentialing requirements, and internal policies. The Onboarding Specialist collaborates with HR, clinical leadership, and training departments to help new employees integrate successfully into the organization's culture and operations.

Responsibilities
  • Onboarding Coordination
    • Serve as the primary point of contact for new hires during the onboarding process.
    • Prepare and distribute welcome packets, orientation schedules, and onboarding materials.
    • Coordinate with hiring managers to ensure role-specific orientation and training are completed.
    • Ensure timely communication between HR, payroll, IT, and department leaders for a smooth onboarding process.
    • Facilitate orientation sessions (in person or virtual).
  • Compliance & Documentation
    • Collect and verify required employment and licensure documentation (I-9s, background checks, drug screens, TB testing, licenses, certifications, etc.).
    • Maintain compliance with federal, state, and accrediting body regulations (e.g., CMS, Joint Commission).
    • Partner with HR and Compliance to ensure all credentialing and mandatory education requirements are met before start dates.
  • Systems & Data Management
    • Enter and maintain accurate employee information in HRIS and other systems.
    • Track onboarding progress and generate reports on completion status and compliance metrics.
    • Ensure timely communication and updates to hiring managers regarding onboarding progress.
  • Employee Experience & Retention
    • Support employee engagement by ensuring a positive and welcoming experience.
    • Conduct follow-ups with new hires at key milestones (30, 60, and 90 days).
    • Gather feedback and identify process improvements to enhance the onboarding experience.
Qualifications
  • Education: Associate or bachelor's degree preferred (Human Resources, Healthcare Administration, or related field).
  • Experience:
    2+ years of experience in onboarding, HR coordination, or healthcare administration.
    Prior experience in a healthcare organization (home health, hospice, hospital, or clinic) strongly preferred.
  • Skills:
    • Strong organizational and communication skills.
    • Detail-oriented with excellent follow-through.
    • Familiarity with healthcare compliance and credentialing requirements.
    • Proficient in HRIS systems and Microsoft Office Suite.
    • Ability to manage multiple priorities and meet deadlines.
