Overview
We are seeking a detail-oriented and highly organized Medical Secretary to support our Consultants with exemplary administrative and secretarial services. The ideal candidate will possess excellent typing skills, medical terminology knowledge, and a strong ability to manage sensitive communications with professionalism and discretion.
Responsibilities- Provide an efficient secretarial service to all Consultants.
- Type Consultants’ clinic notes and letters to GPs and external agencies within 48–72 hours.
- Respond to patient queries tactfully, especially when handling sensitive issues.
- Liaise with Consultants and secretaries to resolve patient queries and complaints promptly.
- Independently manage correspondence, calls, and queries for at least six Consultants with high accuracy and attention to detail.
- Communicate effectively with GP surgeries and healthcare professionals (Occupational Health Nurses, physiotherapists, etc.).
- Provide copy clinic letters when necessary.
- Open and distribute Consultants mail.
- Type discharge summaries, operation notes, and similar documents.
- Log and distribute incoming documents (clinic/theatre typing, insurance forms, DWP forms).
- Order Consultant-specific stationery and paper supplies.
- Collaborate with departments such as Outpatients, Medical Records, and NHS Team.
- Assist in training new and trainee Medical Secretaries.
- Complete mandatory training (fire safety, health & safety, etc.).
- Provide adequate cover during holiday/sickness to ensure uninterrupted service.
- Contribute to procedure development within the department.
- Stay informed on company policies and procedures.
- Deliver outstanding customer service to consultants, patients, and colleagues.
- Perform other duties as assigned by the Senior Medical Secretary.
- Proficient in audio typing.
- Strong communication skills (written and verbal).
- Excellent attention to detail and organizational skills.
- Professional telephone etiquette.
- Competency in using IT systems.
- Familiarity with medical, anatomical, and physiological terminology.
- Prior experience in a healthcare environment.
- RSA Level II or equivalent qualification.
- Good general education.
- Audio typing proficiency required.
- RSA Level II or equivalent preferred.
