Overview

We are seeking a proactive and detail-driven Project Delivery Support - Digital to support the Head of Digital in managing operational workflows, budget tracking, project documentation, governance, and communication planning. This role ensures smooth coordination across digital initiatives, maintains high-quality reporting, and strengthens the effectiveness of digital project delivery.

Scope of Work

The contractor will be responsible for delivering the following:

Key Responsibilities
  • Budget & Financial Support

    Assist the Head of Digital in preparing, maintaining, and tracking annual and quarterly digital budgets. Monitor spend against forecast and flag variances or risks proactively. Coordinate with finance teams to ensure alignment on POs, invoices, and vendor contracts. Support budget reporting and presentations for leadership reviews.

  • Templating, Documentation & Governance

    Develop and maintain standardised templates (project plans, status reports, decision logs, requirements documents, etc.). Ensure consistent documentation quality across digital initiatives. Manage and update shared repositories, dashboards, and digital governance frameworks. Streamline workflows and identify opportunities to simplify processes.

  • Communications & Stakeholder Coordination

    Create, maintain, and execute communication plans for digital projects. Draft internal communications, stakeholder updates, newsletters, timelines, and announcements. Coordinate cross-functional meetings, prepare agendas, and document action items. Ensure alignment between digital, communications and business teams.

  • Project Management & Delivery Support

    Support the Head of Digital in planning, tracking, and reporting on digital project milestones. Develop and maintain project timelines, risks, dependencies, and issue logs. Facilitate workshops and progress check-ins as needed. Support vendor coordination and ensure deliverables are on track.

Qualifications
  • 3-6 years of project management or PMO experience within digital, tech, or marketing environments.
  • Strong skills in documentation, budget tracking, reporting, and stakeholder communication.
  • Proficiency with tools such as MS 365.
  • Excellent written and verbal communication skills.
  • Highly organised, detail-oriented, and able to manage multiple tasks with changing priorities.
Preferred Skills
  • Experience supporting senior leadership or operating within a PMO structure.
  • Familiarity with digital transformation, website/app development, digital marketing, or platform projects.
  • Ability to build templates, frameworks, and structured documentation from scratch.
  • Comfortable presenting updates and creating communication materials (slides, dashboards, briefs).
Onboarding & Compliance Requirements
  • Contractors will be required to complete standard onboarding, including security and confidentiality agreements.
  • A recent criminal record check (Basic Disclosure) from Disclosure Scotland will be required prior to commencement of work.
Support & Collaboration
  • Head of Digital for oversight and direction.
  • Digital Services management team – governance and planning.
  • Development, Testing, Dev Ops, Infrastructure, and Product/Business teams to disseminate and deliver project management solutions.
Acceptance Criteria
  • All assigned deliverables produced to agreed quality standards.
  • Timely and accurate updates provided to management and project teams.
  • Clear documentation maintained in line with governance requirements.
  • Smooth coordination across teams, reducing friction and improving clarity.
  • Positive contribution to overall project delivery and readiness.
