The Procurement Associate will support the procurement and contract management of products and services for Ocean Winds’ portfolio of operational assets in the UK which currently consists of the Moray East and Moray West offshore wind farms.
The role supports the delivery of cost‑effective and compliant procurement solutions, helping to reduce risk and ensure that requirements are delivered on time, on budget and in line with agreed performance standards.
Working closely with internal stakeholders, the Procurement Associate will assist with commercial aspects of asset management including operations & maintenance, asset integrity, health & safety and facilities management. The role supports competitive tendering processes and contract administration activities, ensuring that procurement and contracting activities are carried out in accordance with legislation, ethical standards, Ocean Winds’ procurement policies and tender requirements.
MAINACCOUNTABILITIES PROCUREMENT PROCESSES
- Responsible for the management of RFP processes, including receiving, analysing and tabulating bids, and preparing summary evaluation reports.
- Engage with internal stakeholders to understand supply chain requirements and assist in the preparation of scopes of work to enable effective tendering.
- Support the planning and tracking of strategic sourcing activities.
- Coordinate with internal stakeholders (e.g. legal, risk, technical teams) during tender and clarification stages.
- Assist in developing an understanding of the market for required services, materials and equipment.
- Support the identification, assessment and mitigation of procurement and contractual risks in collaboration with internal stakeholders.
- Assist with the implementation of contracting processes in coordination with project departments.
- Ensure adherence to the procurement policies and processes of Ocean Winds and the relevant projects where appropriate.
- Coordinate supplier identification, evaluation, negotiation preparation and award documentation.
- Ensure that required information for purchase orders is available and that necessary approvals are obtained in line with signatory thresholds prior to contract execution.
- Provide support across the contracts management lifecycle, including drafting assistance, coordination during negotiation, and compliance monitoring.
- Assist in ensuring contracts are compliant, legally robust and aligned with business requirements.
- Support the management of assigned contractors by monitoring performance, identifying potential contractual risks and escalating issues where appropriate.
- Assist in the management and documentation of claims and cost discussions in collaboration with project management and the legal team.
- Support the creation of contractual obligations summaries for the project team and support communication of key contractual requirements.
- Maintain accurate records of contract notices (sent and received) and support timely submission in accordance with contract provisions.
- Ensure appropriate storage of contractual documentation and maintenance of contract registers.
- Support the development and maintenance of positive working relationships with suppliers across the supply chain.
- Assist in analysing market trends relating to price, quality, availability and technological developments.
- Contribute to the assessment of supplier capability to deliver products and services in line with requirements.
- Support the monitoring of supplier performance through agreed KPIs.
- Assist in wider supply chain development activities, including participation in industry events where required.
- 2+ years of experience with sourcing of goods and services, preferably related to offshore industries.
- Experience in commercial, contract management, tendering or similar support roles would be advantageous.
