Provide administrative and operational support to Wealth Planners to ensure effective client service delivery and compliant business processes. Serve as the primary contact between Wealth Planners, the Client Services team, and third-party providers, ensuring all client data and applications are accurately maintained within company systems.
Key Responsibilities Administrative Support- Meet documentation standards with exceptional accuracy.
- Support Wealth Planners with case submissions to the paraplanning team.
- Produce accurate Service Agreements when relevant.
- Provide flexible support across teams and departments.
- Coordinate central services (paraplanning, valuations, business processing) to ensure smooth workflow.
- Manage client onboarding, including CDD and new account paperwork, in line with AML requirements.
- Organize client meetings, manage diaries, and prepare meeting packs.
- Complete post-meeting actions and record minutes.
- Act as first client contact for queries, escalating where appropriate and adapting communication for vulnerable clients.
- Greet clients, manage correspondence, and prepare letters of authority.
- Prepare accurate application forms as per suitability reports and process them within agreed time frames.
- Maintain up-to-date client records in XPlan and associated systems.
- Follow all business processes and compliance procedures.
- Support efficiency initiatives and share best practices.
- Undertake additional duties as directed by management.
- Engage in ongoing technical and professional training (including CPD).
- Keep up to date with market trends and industry developments.
- Full understanding of the end-to-end Wealth Planning process.
- Knowledge of a wide range of Financial Planning products.
- Strong Microsoft Office and Outlook skills (Word, Excel).
- Experience with XPlan (desired).
- Experience with Voyant (desired).
- Strong understanding of regulatory and compliance requirements relevant to Wealth Planning.
- Ability to identify, follow, and elevate issues in line with company policy.
