Location: City of Edinburgh

As the Operations Assistant at Juniper Partners, you will be responsible for supporting the smooth running of our business from an operational perspective. You will be a key member of the Operations Team and will report to the Operations and DCM Director.

Office Management
  • Help keep the office tidy and well‑presented, working with colleagues as needed.
  • Act as an ambassador for Juniper Partners, ensuring the highest levels of professionalism are maintained at all times for our clients.
  • Welcoming, directing and announcing visitors; being a main point of contact for visitors and working with colleagues on any visitor requests.
  • Managing meeting room schedules and ensuring appropriate tech support is available as needed.
  • Managing lunches and refreshments for internal and external meetings.
  • Monitor and maintain an inventory of office supplies, including stationary, equipment, kitchen and catering (including food and drink) supplies, cleaning supplies and bathroom supplies.
  • Liaise with Board Support and Operations colleagues to confirm requirements for office supplies and, where required and subject to obtaining necessary approvals, procure the provision of additional office supplies.
  • Arranging for payment of office supplies by the Finance Team.
  • Monitor and manage relationships with allocated office suppliers and contractors.
  • Receiving and sorting daily mail. Arranging couriers. Taking recorded or tracked mail if required to the Post Office for processing.
IT and Facilities Support
  • Support the Operations and DCM Director in managing the delivery of services by the Company’s IT and Facilities service providers.
  • As directed, assist with basic IT and office equipment issues by liaising with service providers under supervision.
  • Assist with the maintenance of the Company’s health and safety policies and support the compliance of the Company with its health and safety obligations.
  • Occasionally assist with arranging property repairs by contacting approved contractors.
  • Assist on maintaining the company intranet page up to date and regularly update.
Supplier Oversight and Service Delivery
  • Assist and support the Compliance Officer in the maintenance of the Company’s supplier oversight processes.
  • Help gather information for annual supplier reviews.
  • Support colleagues to carry out initial checks on new suppliers before engagement.
  • Assist in preparing simple reports and monitoring client service levels under supervision.
Desirable Experience and Skills
  • Basic IT skills and confidence using common software (e.g., Microsoft Office).
  • Interest in learning about facilities management, IT support, risk and compliance, and working with service providers.
  • Clear written and verbal communication skills, with a professional and courteous approach.
  • Good organisational skills, with the ability to manage tasks in a busy environment.
  • Respect for confidentiality and handling sensitive information appropriately.
  • Ability to work well as part of a team and adapt to changing priorities.
  • A proactive attitude and willingness to solve problems with guidance.
