Operations Manager
The Inventory & Fulfillment Specialist is responsible for owning and managing all inventory and shipping operations, including inventory planning, accuracy, and control across raw materials and finished goods. This role ensures smooth and efficient production workflows, order fulfillment, and end-to-end shipping, maintains precise records, and manages inventory using Cin
7. This position also partners with marketing and sales to ensure products are available, orders are fulfilled on time, and all shipments go out accurately and on schedule.
An initial key project for this position will be managing a significant incoming inventory shipment this summer or fall. This includes accurately creating assemblies and entering all product information (lot codes, expiration dates, quantities, etc) into our inventory management system. Whether we continue with Cin7 or transition to a more user-friendly platform, this role will be responsible for ensuring the system is fully updated, organized, and structured for accuracy and long-term scalability.
Strong experience with inventory software and detailed data management is essential.
- Own and manage our inventory management system (currently Cin7), ensuring data accuracy and alignment with physical stock
- Train and support our part-time Operations & Production Coordinator in properly using the inventory system
- Maintain complete and accurate records across raw materials, packaging, assemblies, and finished goods
- Build and manage assemblies/BOMs, lot tracking, expiration dates (FEFO), and system workflows
- Lead system organization and optimization to support operational efficiency and scalability
- Receive, organize, label, and store incoming inventory and supplies while ensuring all data is accurately entered into the system
- Track stock levels, establish reorder points, and proactively flag low or at-risk items to prevent stockouts
- Conduct regular cycle counts and full inventory audits, reconciling discrepancies within the system
- Maintain clear records of all finished goods
- Process, package, and ship all incoming online orders using Ship Station
- Coordinate and prepare shipments for all DTC and retail/wholesale orders
- Pick, pack, label, and ship orders accurately and on time
- Ensure orders are shipped correctly with proper documentation and tracking
- Manage shipping supplies, packing standards, and carrier pickups (USPS, UPS, etc.)
- Keep shipping stations organized and efficient
- Identify and improve fulfillment processes to reduce errors and delays
- Drive a forklift and operate machinery and measurement tools; follow production procedures
- Set up machines (lot coder, sealer, labeler, Keyence laser) to start production cycles
- Fill and label product bottles during in-house manufacturing cycles
- Keep inventory areas and storage spaces clean, organized, and efficient
- Adhere to health and safety regulations
- Create and maintain Standard Operating Procedures (SOPs) for assigned tasks
- Identify and improve processes to reduce waste and errors across operations
- Complete purchase orders for warehouse and shipping supplies
- Support the sales team with product samples, shipping requests, inventory inquiries, and Cin7 support
- Proven experience working directly in inventory systems such as Cin7 or comparable ERP/WMS platforms is required
- 2+ years of experience in inventory management, warehouse operations, fulfillment, or production (CPG or manufacturing a plus)
- Experience with shipping platforms (Ship Station, Ship Bob, or similar) and carrier workflows (USPS, UPS, etc.)
- Strong understanding of inventory control, cycle counting, audits, and stock reconciliation
- Familiarity with lot codes, expiration dating, and FEFO/FIFO inventory methods
- Experience with order fulfillment: picking, packing, labeling, and shipping
- Comfortable creating and following SOPs and process documentation
- Experience supporting cross-functional teams (sales, production, operations)
- Ability to operate warehouse equipment (forklift, labeling/sealing machinery, measurement tools); certification a plus or willingness to be trained
- Strong organizational skills with the ability to maintain clean, efficient storage and work areas
- Ability to lift, move, and handle inventory (up to 50 lbs)
- Highly organized, reliable, and self-directed
- Clear communication skills and comfort coordinating with sales, production, and operations
- Comfortable in a hands-on, small-team environment
