We are seeking a Business Administration Manager to play a central role in the overall success of the firm. This position reports directly to the Chief Operations Officer and President and serves as a key administrative and operational liaison across the organization and to our key external partners.

About the RoleThe Business Administration Manager oversees the firm’s core business administration functions, including employee benefits, payroll, insurance, banking, and office management. This role also supports general firm operations, including maintaining staffing presence during business hours and assisting the Operations Manager with trading coverage.
Key Responsibilities Business Administration- Act as a key internal administrator and liaison to external partners for all business administration needs, including Cahill’s 401k plan, employee benefits and insurance policies
- Partner with internal hiring managers to recruit talent, including posting jobs, screening resumes, tracking applicants, and creating offer letters
- Manage all aspects of payroll, including payroll processing and managing our payroll vendors
- Serve as the internal liaison to our accounting firm, including assisting with all banking and bill payment needs
- Manage the office’s equipment and supply needs including managing building vendors, furniture and office equipment needs, and generally maintain a well-equipped and functional office space
- Manage staffing coverage and work with managers as needed for PTO approvals, medical and parental leave approvals, including working with our external partners on managing the Minnesota state extended leave benefits
- Manage employee handbook updates, employment forms, and other employee documents as needed for changing regulations or changing business needs
- Contribute to the overall organization of firm records by maintaining a calendar of tasks for your role, meeting task deadlines, tracking, organizing and archiving all human resources and business administration documents, such as firm-wide performance reviews, compensation records, payroll, PTO, paid leave benefits, hiring and termination documents, and state and federal notices
- Provide regular reports to management as to the status of projects, firm events, and business administration updates
- Utilize paperless technology for all tasks where possible
- Attend firm-wide all staff meetings, and participate with updates related to employee-related tasks and updates
- Maintain an open office by being in person during business hours. Answer doors or phones if front desk staff is unavailable
- Portfolio trading and support
- Participation in operations meetings
- Contribute to the overall success and excellence of the firm
- Support the CCO/COO in delivering high-quality operational support to advisors and staff
- Enable advisors to provide exceptional service to their clients
- Operate with a high level of accuracy, efficiency, and accountability
