Job Summary

The Certified Medical Assistant provides clinical support to physicians and mid-level providers, ensuring compliance with OSHA/CLIA and HIPAA regulations. The position requires creating a positive impression with patients, families, and visitors.

Responsibilities include:

  • Patient registration and scheduling
  • Patient billing and pre‑certification (collecting insurance information, co‑pays, or bill payments)
  • Medical records retrieval, release, or collection
  • Data entry and routine problem resolution
  • Assistance with patient flow coordination and follow‑up with appropriate staff
  • Delivery of customer‑focused service and patient instruction under provider direction
Medical Assistant Duties
  • Prepare patients for exams; acquire vital signs, weight, general history, and medication list when required
  • Provide patient care and clinical support during exams, including needle removal, stimulator application, needle count, venipuncture, injections, and EKGs
  • Document all clinical findings and patient responses, including history, medications, vital signs, weight, and testing results
  • Collect and provide completed laboratory/test findings, intake forms, physician referral information, diagnostic imaging, or cardiopulmonary test results to the provider when available
  • Provide instruction to patients under the provider’s direction
Registration & Pre‑Certification

Provide courteous, respectful, and helpful service via office, phone, and email. Manage patient registration (check‑in and check‑out), obtain insurance information and signatures, obtain pre‑certification or consent, monitor additional pre‑authorizations, and if necessary, collect co‑pay/co‑insurance/deductible. Handle phone calls, messages, and compliance with privacy regulations (HIPAA).

Customer Service & Problem Resolution

Resolve routine patient problems and complaints promptly, handle conflicts constructively, and initiate follow‑up with appropriate staff.

Scheduling

Schedule surgical/non‑surgical procedures, tests, therapy, referrals, and appointments, ensuring accuracy of data in the scheduling system. Communicate schedule updates, cancellations, changes, and delays to staff and patients.

Insurance Pre‑Certification & Collection

Complete or assure completion of the registration process, facilitate revenue enhancement through insurance verification, pre‑authorization, and verification of medical necessity. Obtain treatment authorization(s), collect co‑pays and co‑insurance, enter patient charges, maintain monthly/quarterly records, and code services/procedures for charge reconciliation.

Coordination of Patient Information and Services

Coordinate multiple phone lines and Inbox communications, take messages, screen calls, receive information, and transfer calls. Relay messages to staff to facilitate communication and assure quality of care. Support coworkers with front‑desk coverage, answering phones, running errands, and transporting patients. Coordinate translation arrangements when needed.

Medical Records
