The Workplace Experience Coordinator role is responsible for implementing Workplace Experience and Facilities processes and maintaining efficient workflows across the department. This position will support and work closely with facilities management and team members to foster a positive work environment.

What You’ll Do
  • Greet and direct team members and visitors
  • Review and distribute incoming emails to the Receptionist and General Info inbox
  • Receive, sort, scan and distribute incoming mail
  • Coordinate the pick-up and delivery of express mail services (UPS, Fed Ex, USPS, etc.)
  • Order, receive, stock and distribute office supplies and amenities
  • Serve as point person for office maintenance including ensuring office cleanliness and order is maintained (leveraging some outside cleaning services)
  • Support on-site meeting planning and execution to ensure all expectations are met
  • Assist with maintenance of the security access system and perform monthly audits as needed
  • Work with Facilities Management team to help build and implement programs focused on delivering exceptional employee experiences in the workplace
  • Develop and implement standard procedures and documents as needed
  • Administer visitor management and workstation reservation system
  • Back-up support for managing and communicating with vendors, service providers, and property management
  • Assist other departments as requested for special projects and provide administrative support Clean and prepare workstations or offices when offboarding or onboarding an employee
  • Assist with the preparation and submittal of expense reports as needed
  • Other projects or tasks as assigned to support the business
Qualifications
  • Minimum or 3 years of relevant experience in office management, administrative or facilities experience
  • In-depth knowledge of office management systems and procedures
  • Proven experience working in a virtual environment
  • Proficiency in Microsoft Office applications including Word, Excel, PowerPoint and Outlook
  • Excellent interpersonal communication
  • Excellent time management skills and ability to multi-task and prioritize work
  • Proactive and “can-do” attitude with strong problem-solving skills and initiative
  • Ability to present self in professional manner
Compensation

Compensation: 50,000 USD - 65,000 USD
