Job SummaryCoordinates efforts providing baseline support to project teams against key deadlines and requirements. Maintains project documentation, tracking progress, and identifying potential risks or issues that may impact project delivery, escalating concerns to management for review and follow-up. Answers phone calls and helps facilitate communication among team members, clients, and other partners to ensure alignment with project goals and objectives. Provides day-to-day office functions to include reception services, processing mail and packages, and maintaining office equipment and supplies.
QualificationsRequired Skills: To perform this job successfully, an individual should have knowledge and experience with MS Word, Excel and word processing software and the ability to learn department specific software such as Photo Shop, Illustrator and InDesign. Knowledge of mail, copy, multi-line switchboard, and various office equipment. Must have excellent customer service, time management and problem-solving skills. Must be a highly motivated self-starter, flexible, detail oriented, team player, quality conscious, dependable and react well under pressure.
This position requires heavy lifting, standing on your feet or sitting for longer periods of time. Use of personal vehicle for daily travel to and from post office, mail center and/or federal express drop box is required.
- Coordinates and plans project activities, ensuring alignment with project goals and timelines.
- Oversees the maintenance of organized and comprehensive project files and documentation ensuring accuracy, completeness, and accessibility of project records including the handling of Protected Health and Individual Information (PHI/PII) documents.
- Collects and records data related to project performance, outcomes, and key performance indicators, summarizing project progress and achievements.
- Follows management-established processes for helping to track project resources, procurement, and allocation of personnel to optimize resource utilization to meet project objectives.
- Understands quality assurance processes to ensure project deliverables meet established standards.
- Collaborates within team to ensure integration of project activities with organizational goals.
- Utilizes project management tools and software to optimize project processes.
- Approaches others in a tactful manner, reacting well under pressure and treating others with respect and consideration regardless of their status or position.
- Responds to customer needs, questions, and requests, managing difficult customer situations through active listening to get clarification.
- Mentors junior staff members.
Under close supervision, works closely with manager to prioritize efforts
EducationEducation (can be substituted for experience): Minimum High School Diploma or GED required
Work ExperienceWork Experience (can be substituted for education): 2 - 4 years of experience required; 5 - 7 years preferred
