Position Overview
The Property Administrator will support the management of our industrial portfolio, ensuring smooth day-to-day operations, accurate financial reporting, and timely tenant communications. This role is ideal for someone who thrives in a structured, owner-operated environment, enjoys being hands-on, and has experience with property management software—Yardi experience is highly preferred.
Key Responsibilities
- Maintain tenant records, leases, and contracts in Yardi (or other property management software)
- Process rent payments, invoices, and CAM reconciliations, ensuring accuracy and timely posting
- Assist with monthly financial reporting and preparation of reconciliations for owner review
- Coordinate vendor relationships and service requests, including work orders and maintenance follow-ups
- Support the management team with lease administration, including renewals, amendments, and tenant correspondence
- Conduct tenant communications, including notifications, approvals, and inquiries
- Organize and maintain property files and documentation, ensuring compliance and accessibility
- Assist with budget preparation and tracking, monitoring expenses and variances
- Support property inspections and follow up on maintenance or compliance items as assigned
Qualifications
- 2+ years of property management or administrative experience in commercial or industrial real estate
- Experience with Yardi property management software strongly preferred
- Strong organizational, multitasking, and communication skills
- Ability to work independently in a small, owner-operated team
- Detail-oriented and committed to accuracy in financial and operational tasks
- Professional, proactive, and responsive in tenant and vendor interactions
