Front Counter Service Assistant – Auto Repair Shop

Position Summary:

The Front Counter Service Assistant is the first point of contact for customers. This role supports Service Advisors by handling customer check‑ins, basic communication, scheduling, and administrative tasks while delivering excellent customer service and helping the shop operate smoothly.

• Greet customers promptly and professionally upon arrival.
• Assist with vehicle drop‑offs and pickups.
• Answer incoming phone calls and direct them appropriately.
• Respond to basic customer questions in person, by phone, text, or email.
• Maintain a friendly, calm, and helpful attitude at all times.
• Schedule appointments and confirm upcoming visits.
• Create and update customer and vehicle information in the shop management system.
• Print and organize repair orders, inspections, and invoices.
• Collect payments and issue receipts when needed.
• Keep the front counter and waiting area clean, organized, and welcoming.
• Notify customers when vehicles are ready or when updates are available.
• Help follow up on declined services or pending approvals.
• Send estimates or inspection links.
• Monitor vehicle keys, key tags, and repair order flow.
• Ensure customer information and notes are accurate and complete.

• Strong communication and people skills.
• Basic computer skills and willingness to learn shop software.
• Ability to multitask and stay organized in a fast‑paced environment.
• Professional appearance and positive attitude.
• Prior customer service experience preferred but not required.
• Automotive knowledge helpful but not required; training provided.

• Ability to stand and move around the shop throughout the day.
• Ability to lift up to 25 lbs occasionally.
• Reliable attendance and punctuality.

• Deliver a positive customer experience at every interaction.
• Support Service Advisors and technicians efficiently.
• Maintain accuracy in customer information and paperwork.
• Represent the shop’s values and professionalism at the front counter.
