This opportunity involves coordinating a broad range of administrative functions in support of staff across our six Michigan office locations. You will be the primary management liaison for staff regarding administration issues, manage office workload and coverage, and oversee the performance of multiple administrative staff. The role includes direct administrative support for several leaders and the East Lansing office, with oversight of administrative support for the other locations.
WhatYou’ll Do
- Perform administrative duties in support of office staff, including coordinating and scheduling calendar appointments, meetings and travel, preparing various correspondence, receiving and directing incoming calls, and welcoming visitors.
- Coordinate local policy and procedures with corporate and/or divisional functions to ensure full, complete procedures are in place for your assigned areas, and recommend changes in process or procedure to management.
- Prepare reports by gathering and summarizing data from multiple sources, and organize and maintain office files (electronic and hard‑copy) and records in accordance with internal retention policy.
- Prepare and submit expense reports on behalf of office staff, secure and maintain supporting documentation, and ensure accurate coding of expense items. Support Accounts Payable functions by accurately coding and processing invoices, and may supervise A/P staff.
- Track and coordinate the acquisition and distribution of materials, supplies and equipment; maintain inventory of furniture and equipment; assist with office moves in collaboration with Corporate Procurement and facilities; coordinate with facilities on building maintenance issues; and may track mileage and maintain vehicle fleet.
- Organize and coordinate events for the office.
- Deliver new‑hire orientation when needed.
- Perform other duties as assigned.
- High School Diploma/GED or equivalent.
- At least 8 years of related experience.
- Ability to maintain confidentiality.
- Planning, time‑management and organizational skills.
- Ability to balance multiple tasks and changing priorities.
- Attention to detail.
- Demonstrated ability to compose, edit and proof‑read written documents (routine letters, business correspondence and reports of varying complexity).
- Previous experience in leading office administration.
