Salary Range: $56,749 - $71,714 per year, based on verified previous full-time experience. Includes an excellent benefits package, including 6% PERS retirement "employee contribution" paid.

Located in the scenic Rogue Valley of southern Oregon, EPSD9 serves the communities of Eagle Point, White City, and surrounding rural areas. About the RoleThe Administrative Assistant – Business Office works under the direction of the Director of Business Services and supports key operational functions requiring accuracy, discretion, analytical skill, and adherence to firm deadlines. This position requires independent judgment and strict confidentiality.
I. Labor Relations & Collective Bargaining Support- Assist in the preparation, analysis, and costing of collective bargaining proposals and counter proposals.
- Develop and maintain confidential financial impact models related to salary schedules, benefits, staffing configurations, and contract language changes.
- Compile data and documentation for negotiations, mediation, fact-finding, or arbitration.
- Maintain secure labor relations files, including negotiation strategy documents and management notes.
- Coordinate logistics and documentation for bargaining sessions and labor‑management meetings.
- Assist in the preparation of annual budget documents and supporting schedules.
- Support the development of long‑range financial projections.
- Assist with audit preparation and financial reporting as directed.
- Maintain financial records in compliance with Oregon school fund accounting standards.
- Prepare procurement documentation in accordance with ORS 279 and District policy.
- Maintain documentation supporting contract compliance and vendor agreements.
- Assist in the preparation of board agenda materials related to financial and labor matters.
- Ensure proper records retention in accordance with Oregon public records requirements.
- Manage confidential communications for the Director of Business Services.
- Prepare correspondence, reports, financial summaries, and presentations.
- Maintain secure electronic and physical filing systems.
- Respond to sensitive inquiries requiring discretion and sound judgment.
In addition, this position oversees district Workers' Compensation claims, serves as liaison with SAIF and medical providers, provides payroll process support, and offers backup assistance to accounting functions. The ability to manage multiple priorities and meet firm reporting and regulatory deadlines is essential.
Who We're Looking For- Applicants must have a high school diploma or equivalent and a minimum of five years of progressively responsible administrative or business office experience.
- Experience supporting collective bargaining, budget development, financial analysis, or public sector compliance is strongly preferred.
- Advanced proficiency in Microsoft Excel is required.
- Experience with iVisions or similar ERP systems, familiarity with SAIF, and knowledge of Oregon public contracting (ORS 279) and public records requirements are highly desirable.
- The successful candidate will demonstrate exceptional attention to detail, analytical capability, strong organizational skills, sound judgment, professionalism, and the ability to independently prioritize work to meet strict deadlines in a fast‑paced environment.
