Medical Support Assistant – STGi (Dyersburg, Tennessee)
STGi is seeking a qualified Medical Support Assistant for our Community Based Outpatient Clinic (CBOC). The position is part of an active Request for Proposals (RFP) and will be filled upon award selection.
Responsibilities- Manage the schedules and treatment of CBOC patients.
- Maintain electronic logs/files in conjunction with the consult/appointment process.
- Greet and check in patients, updating records as necessary.
- Coordinate patients' schedules and clinic flow.
- Perform clerical and administrative functions to maintain patient data.
- Schedule new and established patient appointments.
- Track and facilitate completion of encounters and consults.
- Participate in PACT team huddles and team meetings to manage and plan patient care.
- Monitor pre‑appointment requirements to assure readiness for patient visit/procedure (e.g., X‑ray, lab work).
- Manage electronic wait list to verify and validate accuracy and resolve issues.
- Perform administrative follow‑up actions.
- Participate in and independently follow up on team huddles by sharing information and collaborating with the medical team to assure continuity of care.
- Evaluate patient information and clinic schedule lists to determine whether patient is vested.
- Gather information and compile data to meet the needs of the service.
- Deal effectively with individuals who may be ill, irritable, or otherwise hard to please.
- Maintain alertness to patients requiring immediate treatment.
- Extend a high degree of customer service to patients, other contractor staff, subcontractor staff, and personnel, and Veterans Affairs Medical Center (VAMC).
- Conduct initial screen of patients, including veteran eligibility and active enrollment in the VA Primary Care Program.
- Verify that required appropriate individual has completed CBOC/VA paperwork.
- Schedule and notify patients of follow‑up appointments/referrals.
- Assist in the coordination of supplies/equipment.
- Assist in maintaining the Veteran Health Information Systems and Technology Architecture (VISTA) clinic reminder tracking system current for each enrolled patient.
- Assist the CBOC Clinic Manager in ensuring that all required reports are completed accurately and completely.
- Act as a liaison between contractor and the VAMC.
- Participate in the ongoing Performance Improvement Program between STGi and VAMC.
- Comply with all federal, state, local, Joint Commission, OSHA, Veteran Affairs, STG and subcontractor safety and operational regulations, directives and standards.
- Maintain confidentiality of all information and support patients’ privacy, patients’ rights, and safety.
- Perform other work‑related duties as assigned.
- Front‑office experience.
- Knowledge of secretarial/clerical tasks (typing, filing).
- Knowledge of basic and complex methods for coordinating and scheduling clinical care.
- Skill and precision in using tools, materials and equipment, including telehealth technologies and troubleshooting technical issues.
- Minimum of two (2) years of current medical and clerical experience in a similar environment (outpatient clinical and/or hospital experience preferred).
- Excellent customer service and communication techniques related to the population served.
- Knowledge of specialized terminology used in Primary Care practice.
- Ability to follow orders and work under close supervision while demonstrating initiative and independence.
- Ability to provide educational material to patients and/or families regarding proper e‑health care activities (e.g., giving injections, taking blood pressures).
- Effective verbal and written communication skills with proper telephone etiquette.
- Knowledge of Microsoft Office Software, Electronic Medical Records and computer maneuverability.
- Exceptional diplomatic communication skills and experience handling difficult customer situations.
- Detail‑oriented with strong multi‑tasking ability.
- High school diploma or GED.
- Cardiopulmonary Resuscitation (CPR)/Basic Life Support (BLS) from AHA or MTN preferred.
Physical Requirements
- Moderate physical activity; handling of average‑weight objects up to 25 pounds or standing/walking more than four (4) hours per day.
- Work is normally performed in a typical interior/office environment.
- Required to respond to any medical emergency within the clinic where a fast walk or job may be necessary to provide assistance.
